This position has been segmented "Remote Anywhere" meaning the work is completed 100% remote anywhere in the U.S. except Hawaii or United States Territories.

The Vendor Onboarding Coordinator’s main responsibility is to support the vendor lifecycle, including collecting and reviewing documentation, and establishing vendor numbers within the US Foods systems and operations, such that ongoing, high-quality sales, purchases and services begins in compliance with contracted terms. Establish a standard setup for each vendor to ensure consistency and accuracy across markets and all internal systems to ensure that vendor is paid accurately and on time. The Vendor Coordinator also supports vendor consolidation/merger processes and handles special projects as assigned.

Main Ingredients of the Job

  • Gathers and reviews all necessary documents to qualify set-up and maintain vendors to control the usage and payment status as required by buyers/sales

  • Act as a liaison between the Vendor, Legal, Risk and the company associates requesting the vendor set-up or changes.

  • Performs ongoing reviews of all current accounts to ensure compliance with all necessary or newly required paperwork and communicating with the vendors and divisions/markets to ensure compliance.

  • Serve as a liaison between US Foods Bank and vendors to coordinate initiating payments via ACH and maintaining if bank information changes.

  • Maintain terms for all Trade and Expense vendors

  • Support obtaining tax documentation to prepare for year-end 1099 process

  • Serve as project coordinator and act as a liaison between internal and external stakeholders for Vendor Consolidation, Mergers, Name Change and/or Tax ID change.

  • Support vendor onboarding process for vendor acquisitions.

  • Training support for Vendor Onboarding Trade and Expense Associates, including creating and maintaining process documentation.

  • Assist in special projects as assigned.

  • Maintain multiple Access Databases.

  • Maintain and update profiles, maintenance forms and process documentation.

  • Identify opportunities for process improvements to enhance efficiency

  • Other duties as assigned by manager. (i.e. Continuous improvement, process optimization and enablement).


Relationships

  • Internal: Finance, Revenue Management, Category Management, Acquisition, Vendor Operations, Supplier Income and Billing, PIM (Product Information Management), Business development, Electronic Data Interchange, Robotic Process Automation, Legal, Vendor Support Center and other internal stakeholders

  • External: Vendors and Customers, Third-Party websites, 3rd Party Solution Providers, Managed Services


What You Bring to the Table

  • 2 or more years’ experience in accounting, AR, or a related business environment 

  • 3 years finance experience is preferred.

  • Strong business/interpersonal skills with the ability to establish and maintain effective working relationships with diverse groups and cross functional teams internally and externally

  • Exceptional verbal, written, and presentation skills. Must clearly and concisely articulate business concepts and issues to management

  • Ability to work with all levels of management

  • Ability to independently lead multiple projects 

  • Strong planning and organizational skills

  • Data entry skills are required.

  • Intermediate Excel, Word and Outlook skills required


Education

  • Associate degree or equivalent experience required. 

Preferred Qualifications

  • Ability to work in team setting and be self-directed/highly motivated 

  • High attention to details and process oriented

  • Ability to effectively work on multiple tasks simultaneously and process work requirements within defined time periods.

Compensation depends on relevant experience and/or education, specific skills, function, geographic location, and other factors as applicable by law.  The expected base rate for this role is between $17 and $25 per hour.
