Job description

This is a remote position.

Project Management Support Role

Work Schedule: 8 AM - 5 PM Melbourne Time

We’re looking for an exceptionally organised and proactive Project Management Personal Assistant to support our team of four enterprise project managers. In this role, you’ll be the glue that keeps everything moving—from chasing up small tasks to drafting emails, QC work against briefs, writing briefs, tracking progress, and compiling reports.

You’ll be a master of follow-up, a clear communicator, and someone who thrives on bringing order to chaos. While you don’t need to be a technical project manager, you should be comfortable juggling multiple small requests, managing priorities, and ensuring the team stays on track.

Key Responsibilities
  • Traffic Management: Own the flow of small tasks and requests across the project management team, ensuring nothing is missed and everything moves forward.
  • Drafting & Writing: Prepare clear and professional emails, briefs, reports, and internal communications.
  • Progress Tracking: Follow up with teams and suppliers on open tasks, update status documents, and flag blockers.
  • Meeting Support: Set agendas, take notes, and capture action points in key meetings.
  • Admin Support: Assist with scheduling, file management, template creation, and general admin for the PM team.
  • Reporting: Compile regular status updates, progress summaries, and highlight reports.


Requirements

  • 3+ years of agency experience is a must-have.
  • Previous experience as a PA, Team Assistant, or Project Assistant.
  • Excellent organisation skills and a love for to-do lists and checklists.
  • Strong written and verbal communication skills.
  • High attention to detail—you notice when things don’t add up.
  • Confidence in following up with people and keeping teams accountable.
  • Proficiency in Google Workspace, Microsoft Office, and project management tools (Asana, Monday.com, Trello, or similar).
  • Comfortable working across multiple projects and teams simultaneously.
  • Basic understanding of project lifecycles (helpful but not essential).
