About the Role

As a Property Management Support, you will provide essential administrative and operational support to our Client's property management team based in Sydney, Australia. In this role, you will be responsible for assisting with various tasks related to property management, administration, and business operations. If you are committed to ensuring smooth operations and exceptional service to clients and tenants, we'd love to meet you!

Key Responsibilities

Property Management - Admin Support:

  • Collate correspondence directed to landlords and tenants regarding lease renewals, seeking instructions and intentions to ensure timely and accurate communication to all parties involved.
  • Invoice/Bills, Maintenance & Quote Management
  • Utilise Client’s property management software tools to send new leases for signing. Follow up on the signing process to ensure completion within designated timelines.
  • Arrears Notification Management
  • Set up mail redirection for properties, including council rates and water bills, to ensure seamless management of billing and communication.
  • Respond to tenant reference requests in a timely manner, providing accurate and relevant information as per established guidelines.
  • Support Senior Property Managers in the tenant application process by collating all required documentation, ensuring completeness and accuracy.
  • Perform ad-hoc administrative tasks as required, demonstrating flexibility and adaptability in handling various responsibilities efficiently.
  • Provide support for the Property Management Team with Condition Reports, template creation and comments. 


Relationship Management

  • Ensure the professional image of the company is upheld through both phone and email communication.
  • Provide the highest level of service and helpfulness over the phone and on email to both clients and team members.
  • Maintaining the company’s standards and procedures whilst managing the role remotely.
  • Communicating effectively to all members of staff.


Compliance: 

  • Coordinate smoke alarm, electrical and gas compliance for all properties, organising inspections and necessary maintenance to ensure compliance with safety regulations.
  • Following up on expired remote inspections.

Other Responsibilities

  • You will coordinate with the Client’s Property Management Team to ensure that requests and concerns are properly addressed.
  • Perform other related tasks and duties that may be assigned by the client later on.
  • Reporting and data analysis 

About You

  • Excellent communicator - fluent in both written and spoken English
  • At least 5 years work experience in property management support roles for Australian companies
  • Extensive experience with Google Suite/Workspace 
  • Solid experience with Property Me CRM
  • Experience with Inspect Express
  • Strong problem-solving abilities and lateral thinking
  • Great Interpersonal skills and ability to foster relationships through spoken and written communication
  • Willingness to adapt in an evolving role/environment

Structure: Full-time (40 hours a week)

Schedule: 6am - 3pm (PHT) / 9am - 6pm (AEDT),  Mon - Fri
