Position Summary: 


The Project Coordinator for Research & Development (R&D) is a dynamic and detail-oriented individual who will be responsible for supporting the planning, coordination, and execution of Sabin’s Vaccine R&D programs as well as the day-to-day operations of the Program Management Office. They will partner and collaborate across the Sabin organization and with external stakeholders to provide comprehensive support which enables alignment, action, and delivery per plan.


The incumbent will have a scientific background and drive to support a range of activities and workstreams related to Program Management of vaccine development that include but are not limited to Chemistry, Manufacturing and Controls (CMC), Non-Clinical, Clinical, and Regulatory Affairs. They will work within a multidisciplinary environment encompassing US Government Agencies, Non-Profit Organizations, Academia, Commercial Partners and International Scientific collaborators.


Responsibilities: 

  • Support Project Managers in coordinating day-to-day activities and tracking progress of vaccine development programs.
  • Partner with Sabin staff to plan and monitor activities, timelines, and deliverables to ensure successful completion within established timelines.
  • Coordinate across teams and programs to ensure seamless communication and alignment.
  • Coordinate the preparation, tracking, review, polishing, and filing of deliverables to ensure timely submission to stakeholders (inclusive but not limited to weekly dashboards, biweekly and monthly reporting).
  • Support meeting execution, including scheduling, preparing meeting agendas, taking minutes, tracking and monitoring action items, and circulating materials to attendees.
  • Assist in creating, maintaining, and updating project timelines using OfficeTimeline, Smartsheet, MS Project, or other project management tools in coordination with Project Manager(s) and Scheduler.
  • Continually assess risks to programs and work quickly to communicate these to Project Managers and SMEs to identify, resolve, and monitor issues that may have an impact on activities.
  • Maintain up to date project files and ensure document control within project management systems.
  • Assist in developing and improving project management processes and tools to support project execution and overall R&D operations.
Requirements
  • Bachelor’s degree in life sciences, biotechnology, or a related field.
  • 2+ years of experience in project coordination or a similar role within the biotech, pharmaceutical, or life sciences industry is essential.
  • Proficiency in project management principles, as well as associated software (e.g., Smartsheet, MS Project).
  • Strong organizational skills with the ability to manage multiple priorities and stakeholders effectively.
  • Ability to work independently, anticipate needs, and take initiative.
  • Detail-oriented and highly organized, with strong analytical skills and a proactive approach to problem-solving. 
  • Excellent interpersonal, verbal and written communication skills with commitment to accuracy.
  • Proficient in Microsoft Office application (Excel, Outlook, PowerPoint, Word, OneNote); MS Teams a plus
  • Demonstrated ability to think critically and demonstrate troubleshooting, problem-solving, and service-oriented skills and approach.
  • Experience handling confidential and sensitive information; ability to exercise discretion. 
  • Ability to process information quickly and listen carefully to feedback and comments and adapt plans/actions accordingly.
  • Commitment to furthering Sabin’s mission.
  • Ability to travel domestically and internationally with notice.

Sabin’s philosophy is to ensure fair, unbiased, equitable, competitive compensation and benefits. Using benchmarking and salary survey data, the starting annual salary for this position ranges from $60,000 - $66,000. The exact compensation may vary based on skills, experience, training, certifications/degree. As a grant-funded organization, Sabin actively seeks funding for existing and new programs.
