Job description

This is a remote position.

As Sentient’s Operations & People Manager you will be leading our back office operations and supporting our entire team to enable Sentient to operate effectively in delivering on our mission. The Operations & People Manager will develop and oversee our internal processes while partnering external parties as necessary. The Operations & People Manager will be anticipating our needs and implementing solutions to ensure the Sentient team is able to work in the most effective and efficient way. 

Reporting to our Executive Director, the Operations & People Manager will have responsibility across Human Resources, Payroll & Benefits, Finance, legal, compliance and IT activities. The Operations & People Manager will play a vital role supporting the team and will be a point of contact for all activities across these critical operational areas. By ensuring we have effective internal systems and processes, the Operations & People Manager will be enabling the Sentient team to focus on delivering impact towards our mission.

The Operations & People Manager will be supported by our People & Culture Advisor, and our Finance Advisor to ensure best practices and efficient operations with a proactive and strategic approach to support our team in their work and ambitions. 

Responsibilities: 

Operations & Internal Systems (25%)

  • Develops and implements internal processes and procedures, allowing the team to work with consistency, and supporting the team to leverage internal systems and operate within defined policies.
  • Understands organizational needs and develops internal processes to support the team to improve ways of working and internal procedures. 
  • Maintains and oversees the ecosystem of tools and systems we use to deliver our work, monitoring subscriptions, integrations, and usage to ensure we are maximizing our operational capabilities. 
  • Manages external vendor and supplier relationships, ensuring all steps are followed and that agreed services are delivered.
  • Identifies future systems and operational needs and develops plans to implement solutions. 
  • Oversees team access and develops processes to successful onboard and offboard team members. 

People Processes (25%)

  • Ensures an inclusive, collaborative, and respectful working environment for the team with guidance, policies, and processes to resolve internal concerns. 
  • Oversees all payroll and benefits processes, vendors, and requirements, ensuring funding and compliance topics are covered. 
  • Oversees employee and contractor letters, files and content, ensuring agreements are updated and in place. 
  • Oversees any employment law requirements and develops policies, procedures and handbooks as required. 
  • Ensures all necessary and required training is provided and identifies additional learning opportunities for the team’s development. 
  • Supporting the team’s performance and implementing processes to help develop the team’s performance and potential. 
  • Supports throughout the employee lifecycle, ensuring effective onboarding and offboarding processes across record keeping, system setup and performance. 
  • Oversees the full hiring process, managing candidate interviews and communications. 
  • Implements inclusion and culture development initiatives. 

Legal & Compliance (20%)

  • Ensures all required compliance, reporting, annual filings, and charitable registration as required for a non-profit organization are completed and maintained, including state registrations. 
  • Monitors any compliance related activities and works with external parties to ensure development of policies and procedures to ensure adherence. 
  • Monitors insurance policies and works with external parties to ensure maintenance of policies. 

Finance & Administration (15%)

  • Supports budgeting processes and financial management activities with external parties. 
  • Oversees payment processes and ensures necessary approvals are obtained. 
  • Maintains the internal expense policy and tracks and monitors internal expenses.
  • Maintains administrative files and processes and contributes to annual auditing processes and requests as required.  

Special Projects & Executive Director Support (15%)

  • Supports the Sentient team & Executive Director with ad-hoc and special projects as needed. Projects may include presentations and reports for various stakeholders, project management and stakeholder engagement. 
  • Supports ad-hoc needs as required by the Executive Director.


Requirements
  • Prior experience in an Operations role overseeing payroll, finance, legal, IT & compliance activities. 
  • Experience working with a non-profit organization and understanding of the various federal and state requirements. 
  • Prior experience of developing and implementing best practice policies and procedures. 
  • Ability to collaborate across teams and ensure impactful communications.
  • Excellent written and verbal communication skills.
  • Highly organized, team player.
  • Ability to work autonomously and proactively.
  • Ability to take initiative.

Benefits
This is a part-time (20 to 30 hours) position that is remote. Candidates should be based in the US and willing to work during East Coast working hours.

Our total reward offering for this position includes the following. However, please note that part time employees may not be eligible for all benefits. 
  • A salary within the range of $80,000 to $85,000 per year (pro-rata based on the part time hours), considering candidate experience
