Job Overview:
We are seeking a highly organized and detail-oriented Fleet & Onboarding Administrator to oversee fleet operations, technician onboarding, uniform inventory management, and safety reporting. This role will be responsible for managing the Enterprise lease program, monitoring fleet performance and GPS data, ensuring safety compliance, and supporting new hire onboarding. The ideal candidate will work closely with field leadership, finance, HR, IT, supply chain, and operations teams to maintain efficiency across all fleet and onboarding functions.
Key Responsibilities:
Fleet Administration & Vehicle Management:
- Oversee the Enterprise lease program, including tracking fleet inventory, lease renewals, and vehicle assignments.
- Monitor fleet compliance, including registration renewals and routine maintenance scheduling.
- Work with finance and fleet management to identify high-mileage vehicles in a positive equity position and coordinate vehicle sales.
- Assist with relocating vehicles between markets as needed.
- Oversee the onboarding of newly purchased vehicles, ensuring proper documentation and compliance.
- Ensure all fleet vehicles receive standardized racking installations, including interior racks and ladder racks, before deployment.
GPS Tracking, Fleet Performance & Safety Reporting:
- Utilize GeoTab GPS tracking to monitor fleet performance and driver behavior.
- Generate reports on fuel efficiency, idling time, and vehicle utilization.
- Monitor safety performance, identifying:
- Top-performing drivers with safe driving habits.
- Low-performing or at-risk drivers needing corrective action or training.
- Report safety insights to the Safety Committee and field leadership
- Work with operations and safety teams to improve fleet safety and driver performance.
Onboarding Support for Field & Contractor Technicians:
- Assist with the onboarding process for new hires, ensuring timely completion of onboarding documents and system access setup.
- Coordinate with HR, IT, and managers to ensure technicians have access to required tools and systems.
- Ensure new hires receive uniforms, tools, and resources before their first shift.
- Maintain a checklist for onboarding readiness, working with supply chain partners to ensure timely provisioning.
Uniform Inventory & Employee Refresh Cycle:
- Oversee uniform inventory management, ensuring proper stock levels and availability for new hires.
- Coordinate uniform orders, replacements, and refresh cycles.
- Track uniform distribution and sizing, working with managers to support field staff.
Reporting & Collaboration:
- Provide weekly and monthly reports on fleet performance, driver safety, uniform inventory, and onboarding status.
- Work closely with finance, scheduling, supply chain, HR, IT, and field leadership to streamline fleet and onboarding operations.
Qualifications & Skills:
- Experience in fleet management, logistics, safety reporting, or administrative coordination preferred.
- Strong organizational and time-management skills with the ability to multitask.
- Proficiency in fleet tracking systems (GeoTab), Enterprise lease management, and reporting tools.
- Ability to analyze GPS data and fleet performance metrics to drive decision-making.
- Excellent communication and collaboration skills, working across multiple departments.
- Detail-oriented with a problem-solving mindset.
- Must be able to work 10-15 hours per week between 8am - 5pmMST.
