Qualifications and Skills:

  • Experience: Must have a minimum of 5+ years of experience as an Executive Assistant, preferably in the construction industry. 
  • Exceptional organizational and time-management skills. Strong verbal and written communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Ability to prioritize tasks and work effectively under pressure. 
  • Familiarity with construction terminology and processes is a plus. High level of professionalism, integrity, and discretion.

Key Responsibilities:

  • Administrative Support: Manage the directors calendar, schedule meetings, and coordinate appointments, ensuring optimal time management. 
  • Communication Management: Handle correspondence, including emails, calls, and messages, and respond on behalf of the director when appropriate. 
  • Documentation: Prepare reports, presentations, and meeting materials; maintain organized records and files. 
  • Meeting Coordination: Arrange and prepare for meetings, including agenda creation, note-taking, and follow-up on action items. 
  • Project Assistance: Assist with construction-related projects by gathering data, monitoring deadlines, and ensuring smooth coordination between teams. 
  • Confidentiality: Manage sensitive information with discretion and professionalism.
