Work Schedule: Monday to Thurs 8 AM-1 PM PST (12:00 AM to 5:00 AM PHT), 20 hours a week

Job Description

We’re seeking a versatile Executive Assistant / Administrative Specialist to support our CEO and various teams in driving our dental AI innovations forward. This role is perfect for someone with a background in dental care who’s ready to dive into the world of tech startups. You’ll be the linchpin of our operations, managing everything from high-level executive support to customer interactions. Your expertise in dental terminology combined with sharp administrative skills will be crucial as we navigate the intersection of AI and dentistry. Responsibilities
  • Orchestrate the CEO’s schedule, managing complex calendars and coordinating high-stakes meetings
  • Serve as the primary point of contact for internal and external stakeholders, managing communications with finesse
  • Maintain and optimize our CRM system, ensuring seamless customer relationship management
  • Coordinate cross-functional teams and external vendors to drive project alignment and success
  • Oversee contract processes, from drafting to execution, ensuring smooth client onboarding
  • Provide top-tier customer support, leveraging your dental knowledge to address inquiries and route technical issues effectively
  • Spearhead our social media presence, crafting engaging posts and fostering community interaction
  • Utilize cutting-edge AI tools like ChatGPT to enhance administrative efficiency
  • Contribute to content creation for blogs and website, blending dental expertise with AI insights

Requirements
  • Dental industry background strongly preferred (e.g., experience as a dental assistant or hygienist)
  • Exceptional organizational prowess and ability to juggle multiple priorities in a fast-paced environment
  • Proficiency in CRM systems and standard office software suites
  • Outstanding written and verbal communication skills, with the ability to interact professionally at all levels
  • Self-starter mentality with a knack for independent problem-solving
  • Familiarity with U.S. business practices and healthcare systems
  • Savvy with social media platforms and basic content management tools
  • Enthusiasm for learning and applying new technologies, especially AI-driven solutions
