ROLE SUMMARY
The Coordinator, Facilities Maintenance and Safety will play an important role in providing secure, healthy, and thriving environments for scholars and staff that facilitate 21st-century learning. This position reports directly to the Director, Facilities Maintenance and Safety and provides administrative and general support needed to help the team to complete their day-to-day and priority work on behalf of Alliance campuses across Los Angeles. This role is funded through a restricted funding source that is anticipated to last until June 30, 2025.
ESSENTIAL RESPONSIBILITIES
Manages the work order system, including assigning and tracking tickets, supporting timely response and resolution, pulling weekly reports, and maintaining the appropriate data in the system
Directly manage the vendor procurement process for the Facilities team by obtaining vendor information, and processing expense reports, invoices/POs, contracts, and other purchase transactions;
Create and own the collaboration with the Accounting Department to ensure successful planning of facilities spending across all schools;
Evaluate vendor performance and negotiate contracts to ensure cost-effectiveness and quality of services.
Monitor the facility maintenance budget, manage contracts with vendors and service providers, and negotiate costs for repairs and upgrades.
Develop and maintain processes and procedures for school staff and HO staff use of facilities ticketing system
Create and manage manuals for each facility asset that contain all necessary documentation and codification of systems needed to protect the value of the assets
Create and manage updated team and school-facing resources (e.g. vendor lists, policies, and procedures);
Plan, coordinate, and schedule Reg 4 annual compliance for all schools and ensure testing is completed in a timely manner
Create and manage a system for ensuring all property taxes, fire and police permits, and licenses across all assets are current and paid on time
Manage emergency repairs, scheduled repairs, and small improvements of Alliance campuses, where needed on an emergency basis, to ensure tenant safety and continuous operation;
Support project management of facility improvements and renovations;
Support in-the-field facilities managers with annual school facility inspections to ensure timely compliance with safety and health regulations;
Act as a point of contact for staff and external stakeholders regarding facilities-related inquiries and issues;
Foster positive relationships with employees and visitors, ensuring their satisfaction with the facility;
Assist with scheduling team meetings and events, preparing materials, and coordinating logistics;
Provide general administrative support to the Director;
Other duties as assigned.

MINIMUM QUALIFICATIONS
No professional work experience is required;
HS Diploma or equivalent (G.E.D.);
Proficient use of Microsoft Office and Google-based applications is highly desired.
WORK LOCATION
This position is a hybrid role which will include a combination of working from home, our network office, and travel to school sites. The successful candidate will be given a $400 work-from-home set-up allowance and receive a monthly stipend of $100.

Relocation: Individuals residing outside of the Greater Los Angeles area are eligible for a relocation bonus of $5,000 for individuals and $7,500 for new staff with families/partners.

Paid Leave: Regular full-time 12-month employees receive 8.5 weeks of vacation and paid time off. Additionally, full-time employees accrue 3 weeks of flexible paid time off per year and receive 27 other paid holidays as part of our network calendar.
Professional Development: At Alliance, we believe in supporting staff growth and development. Home Office staff are allocated $500 per year for professional development expenses
