Responsibilities:
Objective / Purpose
The overall objective and purpose of the Regional and Event Services Manager is to provide sales-related administrative support to our sales teams and coordinate the activities between the sales/catering and operations departments to make arrangements for group meetings, conferences, and social events.

Areas of Responsibility (AOR)
Primary areas of responsibility include, but are not limited to the following:
Administrative Duties:
- Act as Sales Admin for Bohemian Hotel Savannah and Kessler Armstrong Mansion.
- Obtain certification as a CI/TY subject matter expert (SME) and assist with menu updates, tax updates, and system audits.
- Create site alerts and arrange VIP amenities for group clients.
- Provide backup support to banquets/F&B for on-property groups.
- Qualify and enter group sales and catering leads into the sales system.
- Create and print Private Dining menu cards and Place Cards.
- Communicate revised and pop-up event orders to all departments.
Event Services Tasks:
- Create detailed event orders to meet the specifications of the client, manage room blocks, food and beverage requirements, meeting room setups, billing, and other additional needs of the client
- Communicate and enforce contractual agreements to the client pertaining to group rooms, meeting space, food and beverage, and special concessions
- Complete group/event sales accounting processes including processing deposits, processing turnovers, banquet billing, and posting in Opera.
- Presence is required at the start of all Savannah-based functions and to remain on the property until meal service has begun
- Complete required reporting and documentation including ESM event tracking spreadsheets
- Responsible for the collection of attrition charges owed.
- Ensure that all guest checks, payments, master folios and advanced deposits are submitted to accounting.
- Ensure Rewarding Events points are posted following conclusion of event.
- Collaborate with culinary operations to assist in development, design, and implementation of custom menus as needed
- Maintain proper documentation of events, changes and special requests with updated Event Orders, group resumes and rooming lists. Provide accurate and concise information to all departments
- Facilitate event order and group resume meeting. When working remotely, EO and Resume meetings are to be held via Teams.
- When on property, function as the on-site contact to client and address challenges or concerns immediately; Greet all clients as they arrive on day of arrival.
- Organize and conduct site visits, pre-planning visits, pre-con and post-con meetings
- Maximize revenue by selling all facets of the hotel to include outlets for upselling
- Ability to work with vendors to ensure client satisfaction for all groups
- Update onsite contact information in CI/TY to ensure receipt of Event Satisfaction Survey
- Generate thank you notes and service evaluations for all groups.
- Greet all clients (in rotation with MOD and other managers for rooms only groups) as they arrive on the day of arrival
- Competently utilizes the required systems/equipment and platforms to effectively detail and track the progress of groups from turnover through execution
- Maintain accurate, organized and up-to-date files including computer filing and sales platform records (attachments, traces, activities, etc.)
- Actively participate in the Sales and Catering meetings and calls as required; if not on property will attend via Teams
- Use logic, integrity and sound judgment when making business decisions by considering the big picture, operational needs and impact on other departments
- Perform other duties as assigned to meet business needs

Minimum Qualifications
Education, License, Certifications, Experience
- Marriott Sales Systems experience - preferred
- Hospitality or related industry experience - required
- Previous event planning experience – required
- Valid Driver’s License – required
Work Environment / Conditions
The work environment/conditions described herein are representative of those that an incumbent may experience.
- Must be comfortable working in a shared space, with constant noise, without the use of a private office.
- Must be able to cope with frequently changing priorities and deadlines with a high degree of optimism, professionalism & collaboration.
- Schedules may vary from week to week based on business demands in excess of 50 hours with or without notice.
- This role requires travel up to 40%.
- This role requires on-site presence 2 – 3 days a week, as well as additional on-site availability to support events.
