Job description

A leading immigration law firm seeks an experienced and detail-oriented Bookkeeper to join its Finance Team. This role is crucial to maintaining the accuracy and efficiency of financial operations, including managing QuickBooks, processing transactions, and supporting overall financial health. 

The candidate will work closely with the internal AP/AR team, as well as the external Accounting Firms Tax Accountant and Bookkeeper. 

The ideal candidate will have a strong accounting background and a passion for delivering accurate and timely financial information.

Key Responsibilities:

  • Manage all aspects of QuickBooks, including data entry, posting client transactions, and generating financial reports.
  • Set up new retained matters in QuickBooks, including originating attorney information.
  • Oversee client invoicing and accounts receivable, ensuring timely billing and collections.
  • Maintain Aging AR reports and provide weekly spreadsheets to the Firm Executive Committee.
  • Conduct follow-up calls with clients who have outstanding AR balances, propose payment plans, and collect payments.
  • Collaborate with Case Managers and Accounts Payable to ensure client payments have been received prior to filing submissions and payment of government fees.
  • Reconcile monthly bank and credit card statements to maintain accurate financial records.
  • Assist with tax preparation by maintaining up-to-date records and supporting documentation.
  • Collaborate with the Accounts Payable Specialist, Chief Operating Officer, and external Accounting Firm to streamline processes and improve financial controls.
  • Verify and calculate attorney quarterly commissions based on origination.
  • Handle client billing inquiries and resolve discrepancies professionally and efficiently.
  • Reconcile client IOLTA trust accounts in coordination with the Bookkeeper and AP Team.
  • Maintain confidentiality of financial information and adhere to company policies.

Required Qualifications:

  • 2-5 years of work experience in accounting.
  • Proficiency in QuickBooks is required.
  • Associate or bachelors degree in accounting, finance, or a related field.
  • Proficiency in MS Excel.
  • Strong mathematical and accounting aptitude.
  • Excellent customer service skills.
  • Excellent judgment and self-motivation.
  • Professional demeanor.
  • Curious learner.
  • Fluency in English.
