JOB TITLE: Client Intake Specialist

RATE: Php 208.33 per hour

Work Type: Full-time, Remote/WFH

Working Hours : Monday to Sunday, 7:00 AM to 11:00 PM (Pacific Time)

Start Date: TBD


JOB ROLE & RESPONSIBILITIES: 

Lead Management:

  • Follow up with any leads with-in 5 minutes of delivery to email and book assessments for prospective clients while navigating pre-qualifying questions to ensure suitability.

  • Make 150–200 daily calls to follow up on leads from platforms such as A Place for Mom, AgingCare.com and Caring.com.

  • Send regular correspondences through email and SMS functionality in WellSky to prospects on a bi-weekly cadence.  

  • Maintain and nurture prospect relationships through consistent communication and follow-up over an extended period, sometimes up to 12 months.

  • Handle leads from social media platforms (Facebook, Instagram) generated through geofencing campaigns, ensuring timely follow-up.


Sales Support:

  • Respond to incoming inquiries, rescheduling appointments, and providing support during downtime, especially on weekends.


Appointment Setting:

  • Manage the appointment pipeline, ensuring accurate scheduling and follow-ups.

  • CRM Management:

  • Update and maintain WellSky with lead information, call notes, and appointment Collaborate with the team to ensure seamless transitions between follow-ups and ongoing lead nurturing.


Performance Metrics:

  • Daily call volume (150–200 calls).

  • Number of booked assessments per week.

  • Accuracy and completeness of CRM updates.

  • Responsiveness to new leads, particularly hot leads requiring immediate attention.


Success Criteria:

  • Build strong rapport with leads and convert inquiries into assessments.

  • Maintain a high standard of CRM data integrity and communication logs.

  • Seamlessly integrate into the team, demonstrating adaptability to tools, systems, and processes.


Initial Projects (First 30 Days):

  • Complete WellSky and HubSpot training to gain proficiency in CRM management.

  • Establish a strong follow-up process for leads across all platforms.

  • Familiarize with the client intake process and master appointment setting.

  • Collaborate with sales and marketing teams to ensure smooth transitions and consistent communication.


JOB REQUIREMENTS:

Must-Haves:

  • Strong inside sales experience and excellent phone communication skills.

  • Comfortable handling high-volume call activities (150–200 calls/day).

  • Ability to navigate client conversations effectively, including pre-qualifying questions and handling objections.


Nice-to-Haves:

  • Experience in client intake or lead follow-up in home care or healthcare industries.

  • Familiarity with HubSpot CRM; willingness to train is acceptable.

  • Basic knowledge of social media inquiries or light social media management.
