About the role

Do you thrive (or believe you would) in dynamic environments, switching between supporting various teams with internal processes, negotiating with suppliers, reviewing procedures for ISO certifications, and facilitating business expansion across different geographies?

Responsibilities:

Process Optimization & Documentation

  • Lead or contribute to the documentation and improvement of internal processes, making them accessible and easy to follow across teams.
  • Analyze operational data to identify opportunities for process and tool optimization.
  • Oversee the maintenance and evolution of operational tools, collaborating closely with other departments.

Tool & Systems Management

  • Support the evaluation, implementation, and optimization of new tools, ensuring they integrate effectively within the company’s tech stack.
  • Take ownership of company-wide tool management, supporting team requested improvements and documenting operational changes.
  • Be part of current and future tools negotiations & renewals to manage cost reduction & assess best setup for each department.

Support in High-Impact Projects

  • As part of the Ops team, be ready to jump into critical projects that shape the company’s operational efficiency and scalability. You won’t be alone, we’re here to support and share this adventure!
  • Work cross-functionally with Finance, Legal, Sales, and Tech teams to tackle urgent operational challenges.
  • Take ownership of problem-solving initiatives, driving execution and ensuring strategic alignment.

Process Management

  • Own and document key processes across Operations, People, Legal, and Compliance to ensure efficiency and clarity.
  • Support the development of templates and documentation required for ISO certifications and audits.
  • Ensure compliance with ISO, GDPR, and internal regulations, proactively overseeing the implementation and monitoring of compliance processes.

Operational Support

  • Assist in managing licenses, workplace structure, and account administration, ensuring smooth daily operations.
  • Provide support in handling certifications, insurance policies, legal documentation, and vendor agreements.
  • Coordinate onboarding and offboarding processes, ensuring seamless integration of employees into internal systems and compliance frameworks.


Requirements:

  • Bachelor’s degree in Business Administration, Finance, Economics, or related fields. Experience in compliance or process management is a plus.
  • 1+ years of experience in operations, customer support, or IT departments within fast-paced environments.
  • Strong analytical and organizational skills, with attention to detail and the ability to document and optimize processes effectively.
  • Excellent communication and cross-functional collaboration skills, with experience working alongside Ops, Legal, and People teams.
  • Experience with tools like Excel/Google Sheets, task managers (ClickUp, Asana, etc.), Notion, and basic BI platforms.
  • Familiarity with ISO, GDPR, or corporate compliance regulations is a plus.
  • Autonomous and proactive mindset, with a problem-solving attitude and the ability to take ownership of tasks, drive process improvements, and manage multiple responsibilities simultaneously.
