Job description

This is a remote position.

A large international financial services company requires a Talent Acquisition Coordinator to support the TA team on a 6-month contract. This is a remote role, however if the successful candidate resides in Gauteng, one day in the Rivonia office per week will be required. Monday to Friday 8am to 5pm / 9am to 6pm, R40 000 - R50 000 per month experience dependent. 

The Talent Acquisition Coordinator supports the TA team by ensuring data integrity across TA systems, managing day-to-day recruitment operations, as well as overseeing relationships with TA vendors. Serving as a central point of contact, this role facilitates communication and collaboration between recruiters, hiring managers, and various internal departments to drive seamless recruitment processes and ensuring successful outcomes for the business.


Key Responsibilities

Recruitment Coordination & Systems Support:

  • Manage the recruitment mailbox and maintain a 100% reply rate, with a target of responding to candidates within 24 hours.

  • Oversee the management of open applications, ensuring timely and clear communication with all candidates.

  • Adapt communication to suit diverse talent connecting with the company globally.

  • Support scheduling of interviews for C-level executives.

  • Assist in creating and maintaining accurate and up-to-date job descriptions.

  • Manage the internal recruitment channel, regularly advertising open roles to employees.

  • Conduct TA systems-related training sessions for internal teams.

  • Prepare and distribute Quarterly Recruitment Analytics Reports, tracking progress and insights.

  • Manage referral processes from executives, including communication and sharing candidate information with recruiters.

Recruitment Administration:

  • Maintain accurate, up-to-date records in the Applicant Tracking System (ATS) and project management platform.

  • Prepare and distribute recruitment-related documentation, including offer letters, contracts, and other necessary paperwork.

  • Post job openings on various recruitment platforms under the guidance of recruiters.

  • Manage access to TA systems, ensuring appropriate permissions are in place.

  • Submit credit card reports to the finance team for TA team expenses.

  • Regularly review and update message templates in the ATS to ensure consistency and clarity in communication.

  • Own the New Hire Request process and set up new positions in the ATS with guidance from hiring teams and recruiters.

  • Provide support for anyone with questions about our TA systems.

  • Lead the resolution of any TA system-related issues, collaborating with internal teams and external vendor technical support to ensure timely and effective solutions.

  • Regularly review and update TA policies and procedures to ensure they align with best practices and company standards.

  • Manage referral communications, track referrals, and coordinate with Payroll for referral-related payments.


Vendor Management:

  • Serve as the primary point of contact for all vendor communications related to TA systems, managing relationships and addressing day-to-day inquiries.

  • Own the contract renewal process for all TA systems, coordinating with compliance, legal, procurement, and finance teams to ensure adherence to internal processes and compliance requirements.

  • Collaborate with finance to manage the invoicing process, ensuring timely and accurate invoice submission and payment.


Collaboration with Hiring Teams:

  • Foster and maintain strong relationships with the TA team, hiring teams, and internal stakeholders.

  • Support reruiters with coordinating debrief meetings and collect feedback from interviewers following final candidate interviews to drive timely and informed decision-making.

  • Partner with hiring managers to create and document candidate projects in the project platform.


Compliance and Documentation:

  • Ensure recruitment practices comply with relevant laws, regulations, and company policies.

  • Maintain accurate and up-to-date recruitment documentation for reporting and auditing purposes.

  • Coordinate with the Legal and Compliance teams on any requests related to the deletion of candidate data.

  • Actively participate in recruitment audits by presenting recruitment documentation and data.


Continuous Process Improvement:

  • Identify and implement opportunities to streamline and enhance the efficiency of the recruitment process.

  • Provide feedback on existing recruitment processes and recommend improvements to boost overall effectiveness and candidate experience.



Requirements

Requirements:

  • Minimum 5 years of experience in recruitment coordination or a related administrative role, preferably within the tech industry.

  • Proven ability to thrive in fast-paced and dynamic environments.

  • A high level of initiative and the ability to take ownership of tasks and projects.

  • Strong understanding of recruitment processes and best practices.

  • Experience with Applicant Tracking Systems (ATS) and other recruitment-related software.

  • Excellent organisational skills, with the ability to manage multiple tasks and deadlines in a high-pressure environment.

  • Exceptional communication skills, both written and verbal, with the ability to engage effectively with internal stakeholders, candidates, and vendors.

  • Strong attention to detail, with a focus on data integrity and accuracy.

  • Ability to handle confidential and sensitive information with professionalism and discretion.

  • Strong problem-solving skills and the ability to work independently as well as part of a team.

  • Proactive and adaptable, with a strong focus on continuous improvement and process optimisation.

  • Experience with vendor management and managing vendor relationships is preferred.

  • Knowledge of relevant labour laws and compliance regulations in recruitment is a plus.




Salary:

R40 000 - R50 000 per month experience dependent
