HR Operations Specialist – Americas (Remote with Office Access to San Jose as Needed)
Are you an experienced HR & Payroll professional looking for a dynamic, global role? We’re seeking an HR & Payroll Specialist to support our operations across North and South America. This role is primarily remote, but you should be able to go into an office as needed.
We are seeking an HR Operations Specialist to be responsible for day-to-day operations of Human Resources, with a focus on US payroll and benefits administration in Workday for our guardians throughout North and South America
This role will manage the administrative tasks for the HR function in the North, Central, and South America region of our global organization, and act as support for the HR team to ensure that all employees are enabled and empowered to perform at their highest potential.
The key responsibilities of this role are payroll and benefits, however there is opportunity to work with the broader HR team on a wide array of local and global projects and to interact with our team members around the world. In this role you will:
Work closely with internal teams and external payroll providers to ensure smooth payroll processing.
Collect and provide inputs to our US payroll provider for timely and accurate payroll processing for approximately 100 US employees.
Collect and provide payroll inputs for Mexico, Costa Rica, and several other LATAM countries
Develop a working knowledge of US state wage and hour laws and other country guidelines to ensure accuracy and compliance. Partner with appropriate payroll, benefit, and tax providers for support.
Provide payroll and benefits reporting to stakeholders, finance, and governmental agencies as required.
Urgently and professionally respond to employee queries regarding pay and benefits through a CRM (Zendesk). Assist employees with benefit enrollment and life events.
Manage accurate benefits administration and billing including healthcare and pension (401(k)). Prepare information for 401(k) or SOC1 audits as required.
Enter and maintain employee lifecycle changes in the HCM, (inc. new hires, terminations, compensation changes, organization changes etc.
Ensure accuracy and proper upkeep of employee records and data in HCM and payroll.
Build and provide regular and ad hoc reporting, get involved in projects as required. Review and verify background screenings, coordinate new joiner onboarding and new hire documentation, and conduct new hire orientation training as needed.
Assist with HR compliance projects such as personnel file and benefit document audits, as well as consistent filing of personnel documentation .
Hold a Costa Rica signing authority and visit the Costa Rica office as needed for local signatures or other onsite requirements.
Maintain strict confidentiality and discretion of private information and as required in personal and HR related matters.
Act as a brand ambassador and good steward to Safeguard, always exemplifying our value system
For this role, you should have:
At least 4+ years experience working in an HR administration and/or payroll role
Strong Excel skills, particularly for reconciliation and analysis (pivot tables, VLOOKUP, formulas).
Knowledge of relevant HR and payroll laws and best practices.
Aptitude and interest in technology and knowledge of HR systems, preferably Workday
A love for numbers, detail, and getting the job done right and on time
Innate ability to always act professionally and with the highest level of discretion and client service.
Professional verbal and written communication skills with the ability to adapt your style to different audiences, including a fluency in business English.
Excellent organizational skills, the ability to successfully prioritize and re-prioritize in a fast-paced, ever-changing environment, while still delivering on timely manner.
Ability to work independently while being part of a global team.
