Job description

We are seeking a detail-oriented and proactive Bid & Proposal Specialist to join our team in the Water Utility industry.

The ideal candidate will be responsible for managing the end-to-end proposal process, ensuring timely submission of high-quality bids that align with company goals and client requirements. This role requires strong organizational skills, excellent communication, and a deep understanding of the bidding process within the utility sector.

Responsibilities:

  • Manage the complete bid and proposal process from opportunity identification to submission, ensuring compliance with client specifications and deadlines.
  • Collaborate with cross-functional teams, including engineering, finance, legal, and project management, to gather required information for proposals;
  • Analyze RFPs, RFQs, and other solicitation documents to develop comprehensive response strategies;
  • Prepare, write, and edit proposal content, ensuring clarity, accuracy, and alignment with client expectations;
  • Develop and maintain a proposal content library and templates for efficient future use;
  • Track and report on bid progress, outcomes, and lessons learned to improve future submissions;
  • Ensure all proposals adhere to company branding, legal, and compliance standards;
  • Support contract negotiations and handover processes following successful bids.

Requirements

  • Minimum of 3 years of experience in bid and proposal management, preferably within the water utility or related industries;
  • Strong understanding of the bidding process, including RFPs, RFQs, and contract requirements;
  • Excellent written and verbal communication skills, with strong attention to detail;
  • Proficient in Microsoft Office Suite and proposal management software;
  • Ability to manage multiple projects simultaneously under tight deadlines, with strong organizational and time-management skills.
