About the Role: We are seeking a motivated and detail-oriented Virtual Assistant/Office Assistant to join our dynamic team. As a Virtual Assistant, you will provide essential administrative support to ensure the smooth operation of the office and contribute to our overall business success. Key Responsibilities:

  • Administrative Support: Manage day-to-day office tasks such as scheduling appointments, managing calendars, organizing meetings, and coordinating events.
  • Communication Handling: Answer and direct calls, emails, and other inquiries. Ensure timely and accurate communication with internal teams, clients, and stakeholders.
  • Document Management: Organize and maintain digital files, records, and office documents. Ensure documents are easily accessible and updated.
  • Task Coordination: Assist in creating and managing to-do lists, setting reminders, and following up on pending tasks to ensure deadlines are met.
  • Data Entry & Reporting: Perform data entry, maintain databases, and prepare reports as required by different departments.
  • Travel and Meeting Arrangements: Coordinate travel itineraries, hotel bookings, and transportation for employees or executives as required.
  • Client Interaction: Communicate with clients and partners professionally and assist in the preparation of proposals, presentations, and reports.
  • Office Supplies & Equipment: Monitor and maintain office supplies, order new stock as needed, and ensure office equipment is in working order.
  • Support to Executives/Managers: Provide direct administrative support to executives, including calendar management, meeting preparation, and travel coordination.
  • Filing & Record-Keeping: Ensure accurate record-keeping for both physical and electronic documents, ensuring confidentiality and compliance with company policies.
  • Collaboration with Teams: Support team members in ad-hoc administrative duties and assist with interdepartmental coordination as needed.

Required Qualifications:

  • Proven experience as an office assistant, virtual assistant, or in a similar administrative role.
  • Strong knowledge of office management systems and procedures.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with project management tools and software (e.g., Asana, Trello, etc.) is a plus.
  • Strong verbal and written communication skills.
  • Ability to multitask and prioritize work effectively.
  • Exceptional organizational skills and attention to detail.
  • High level of discretion and confidentiality when handling sensitive information.
  • Comfortable working independently or as part of a team.
