Job Description

Join a thriving real estate agency as a Property Management Assistant. You will streamline operations, enhance client communication, and support the growth of a premium property management portfolio. This role offers an opportunity to develop your real estate management skills while contributing to a high-quality, client-focused agency.

Responsibilities
Communication Management:
  • Serve as the primary contact for tenants, property owners, and contractors.

  • Ensure timely, professional responses to inquiries and requests.

  • Maintain regular follow-ups with tenants (3-month checkups) and property owners (6-week updates).

  • Coordinate maintenance requests and update relevant parties.

  • Manage tenant communication regarding rent arrears and lease renewals.

Administrative Efficiency:
  • Update property and client data in CRM systems.

  • Track and report key performance indicators (KPIs).

  • Create and manage lease contracts and renewals.

  • Organize contract management and record-keeping systems.

  • Prepare tenancy applications and lease agreements.

Financial Support & Reporting:
  • Assist with payroll processing and bank reconciliations.

  • Ensure accuracy in payroll and reconciliation tasks.

  • Prepare monthly KPI reports with actionable insights.

  • Monitor rental payments and follow up on overdue accounts.

Marketing & Growth Support:
  • Assist with social media management and lead generation.

  • Support property listings, including drafting descriptions and organizing images.

  • Help maintain and enhance the agency’s premium reputation.

Key Role Outcomes & Success Measures

  1. Communication Management

    • Success Measure: 100% adherence to communication schedules, 24-hour response time.

  2. Administrative Efficiency

    • Success Measure: Zero errors in data entry, 100% on-time contract submissions, 95% maintenance task completion rate.

  3. Financial Support & Reporting

    • Success Measure: 100% accuracy in payroll and reconciliations, on-time KPI report delivery.




Requirements

  • Strong written communication and professional email/reporting skills.

  • High attention to detail and accuracy in data entry and financial tasks.

  • Proficiency in Microsoft Office Suite or Google Workspace.

  • Basic understanding of accounting principles.

  • Ability to learn new software, especially property management and CRM tools.

  • Excellent time management and task prioritization skills.

  • Customer service orientation and proactive problem-solving skills.

  • Real estate industry knowledge is preferred.

  • Experience in tenant inquiries and lease documentation is a plus.
