JOB SUMMARY
The Events Manager will help with the planning and execution of Elite Tournaments events, which will include assisting with league partnerships and all events associated. The Events Manager will also be the Tournament Director for events as assigned by the VP of Soccer. This position encompasses a wide variety of planning and management responsibilities while maintaining a high level of customer service through the progression and completion of the events.

RESPONSIBILITIES:

OPERATIONS

  • On-site director for specific league events (DPL, EAL, GA) and other events as assigned
  • Coordinate event suppliers and vendors for events, as assigned
  • Develop, manage, and execute equipment distribution plans for field and site set-up and breakdown methods
  • Serve as a Tournament Director for Elite Tournaments owned and operated events, as assigned
  • Review, negotiate and secure venue contracts for all events as assigned
  • Introduce the Event Order to venues and track all deliverables specific to the event to ensure all tasks are completed, organized and shared with the venue contact
  • Procure and forecast equipment and supplies needed to conduct event operations to include but not limited to ordering and coordinating with suppliers while serving as the company liaison to venue operators (i.e. portable restrooms, PODS, commercial and utility vehicles, field liners, ice, table and chairs, etc.)
  • Work with the Operations Department on tasks related to all events as assigned (i.e., local workers, packing, equipment, setup, etc.)
  • Ensure that all deliverables/requirements with venue operators are executed
  • Ensure all facility rules are adhered to by staff members, suppliers, vendors, and teams in attendance
  • Conduct staff itinerary meetings prior to events and event wrap up meetings as needed

ADMINISTRATIVE

  • Understand the competitive landscape of the youth sports event and tourism industry and
    implement new ideas to enhance event experience
  • Set-up events and process registrations/applications within GotSport or other application software
  • Develop tournament schedules with considerations of customer service to include team travel restrictions, referee availability, field availability, and coaching conflicts 
  • Assist with developing specific event operations budget(s)
  • Ensure compliance with rules and ethics
  • Procure necessary Certificates of Insurances for all venue contracts/permits as assigned

COMMUNICATION

  • Serve as the primary point of contact for specific leagues, club team directors, officials, college coaches, and parents for events as assigned
  • Ensure teams are aware of event details, including the tournament rules and regulations, hotels, schedule, on-site activations, updates/changes, etc.
  • Maintain venue conversations and track communication throughout the planning process
  • Communicate schedule with Referee Assignor for field loading and scheduling as assigned
  • Report to leadership of all league board members and full-time staff when applicable
  • Responsible for providing excellent customer service
  • Conduct post-event surveys to all teams, players, and college coaches as needed
  • Assist Tournament Directors with recruitment and customer service when needed

MARKETING/BUSINESS DEVELOPMENT

  • Coordinate with Marketing Department to ensure event websites are up to date with necessary details including deadlines, schedules, rules, updates, etc.
  • Coordinate with Marketing Department pre-event to create facility maps, signage, and any other necessary items as needed
  • Secure vendors and sponsors that align with the DPL, EAL, GA and/or Elite Tournament philosophies
  • Work closely with CVB’s to assist with local sourcing inquiries that could be helpful for each event assigned
  • Attend site visits for potential host venues
  • Assist with reporting on analytical data as it relates to historical event data (i.e., direct, indirect, economic impact, hotel room nights, etc.)

QUALIFICATIONS & EDUCATION REQUIREMENTS

  • Extensive knowledge of the youth sports landscape and particularly the youth soccer, tournament, club sector and demographic in the United States
  • Superior oral and written communications skills
  • Effective organizational skills for management of multiple tasks or projects
  • Bachelor’s degree in Sport Management or a related discipline
  • Three (3) to five (5) years’ experience in operation of sporting events, leagues, facilities, and/or professional teams
  • Experience with partnership and vendor activation

PREFERRED SKILLS

  • Advanced knowledge of products in Microsoft Office Suite
  • Knowledge of GotSport, MOD 11 and/or other applicable registration software
  • Knowledge of basic finance practices for budget management
  • Experience in contract negotiations

ADDITIONAL REQUIREMENTS

  • Ability to work weekends, irregular hours, and travel as needed
  • Ability to lift 50 pounds
  • Valid driver’s license and safe driving record
  • Successful completion of a background check
