Responsible for receipt, organization, and maintenance of incoming paperwork including donor and recovery information records from Recovery Partners while reviewing for regulatory compliance. Input all donor information contained within the chart into the donor recovery information database before the case is forwarded to the Case Manager. Perform non-clinical review of donor chart including identification of required corrections for discrepancies and/ or omissions that impact donor eligibility. Review necessary reports while communicating information with Recovery Partners to expedite the release process. Responsible to perform first line review and identification of positive test results. Coordinate and work closely with recovery programs, laboratories, and all relevant MTF departments while working closely with Case Manager through the Donor Eligibility (DE) process by monitoring and expediting pending cases. Maintain donor chart records and required processing record files and archives (electronically and via scanning).

Responsibilities:
  • Review, triage, file, and organize all incoming recovery and donor information records to create new donor charts. Ensure required donor and recovery records are in the donor chart, complete, organized and assembled per established procedures.
  • Review data/documents for accuracy and consistency and perform accurate data entry of required donor information for review, DE determination/release, traceability, and processing of recovered tissue. Take action to prevent mistakes and follow procedures closely.
  • Keep records accurate and up to date and perform ongoing review of the entire donor chart prior to the Case Manager review to verify that the MTF donor ID number is documented on required records and that required testing is complete, on file, and recorded in DORA. Assist with identification of potential donor cases ready for final case manager second pass.
  • Build strong working relationship with internal and external customers and demonstrate an understanding of how own work assignments affects others in the organization. Interface with the recovery partner as well as other MTF departments to obtain critical information for the release of pending cases.
  • Prioritize work in alignment with the needs of the customer and use customer knowledge and feedback to improve work.
  • Ensure that required relevant communicable disease (serology) test results are received and recorded to the DORA database, perform first line review and identify positive test results: initiate and perform the required notifications to the Recovery Partner, MTF designees, as well as any other agency reported in the record as involved in the donor tissue recovery for compliance with established regulations and procedures.
  • Communicate with MTF contracted lab(s)/testing facilities (e.g., VRL) regarding testing and sample information, obtain amended reports as necessary; interface and obtain required information from non-MTF testing facilities as needed and requested
  • Prepare the routine packet of any and all required reports, testing results, miscellaneous paperwork, and MTF information and distribute to the Recovery Partner in accordance with the partners’ needs.
  • Receive, triage, and file supplemental or residual records, corrections, and additions to the donor chart.
  • Review routine reports and proactively investigate any issues for follow up as needed to assist the Case Manager with expediting potential releases.
  • Monitor for probable aborted tissue recoveries and confirm tissue not received with Donor Log-In (DLI). Confirm aborted recoveries with the Recovery Partner, documents reason, and update database.
  • Perform Exceptional Authorization (EA) communication and update database.
  • Assist on special projects and perform additional duties as assigned.

Other:   Office or administrative experience
