Job description

The Opportunity:

This role will provide administrative support and ensure the smooth operation of managed care activities, tracking, and reporting. This role must have proficiency in Excel, strong communication skills, and possess a thorough understanding of home care processes and documentation requirements. Administrative Support Specialist be highly organized and have attention to detail.

Your responsibilities will include:
  • Audit Management:
    • Perform weekly audits of managed care spreadsheets to ensure all active managed care patients are listed on the appropriate payer tracking sheets.
    • Review managed care charts to ensure all required authorizations are attached and up to date.
  • OASIS Compliance:
    • Send timely communications regarding OASIS nearing 30-day deadlines to prevent late submissions and ensure compliance with home health regulations.
  • Hospitalization Tracking:
    • Maintain and update a list of hospitalized patients and their episode dates. Ensure that if a patient is still admitted at the end of an episode, the episode is terminated on the last billable visit date to push the episode into a billing status for auditing.
  • Authorization Support:
    • Act as a backup to the primary authorization staff as needed to ensure there are no gaps in care and authorization documentation.
  • Physician Credential Management:
    • Assist in maintaining current and accurate physician credentials in the Electronic Medical Record (EMR) system, including professional license numbers, expiration dates, PECOS enrollment, NPI, contact information (address, phone, fax), and any other required data.
    • Verify that the PECOS report only includes VA pay patients and does not list patients from other payers.
  • Documentation & Reporting:
    • Send discharge summaries to physicians within the required timeframes.
    • Assist with submitting transfer summaries to physician offices within established deadlines.
    • Submit missed visit reports to physician offices in required timeframes.
  • Data Management and Reporting:
    • Clear schedule deviation reports on a weekly basis to ensure data integrity.
    • Clear orphan documents weekly to maintain organized patient files.
    • Clear visit exception reports weekly to ensure compliance and timely documentation.
Qualifications:
  • Experience with Electronic Medical Record (EMR) systems such as Kinser/Wellsky is a plus.
  • Proficient in Microsoft Excel and comfortable working with large datasets and spreadsheets.
  • Previous experience in an administrative role in a healthcare or home care setting is preferred.
  • Strong attention to detail, with the ability to identify discrepancies and errors in documentation and reporting.
  • Excellent organizational and time management skills.
  • Ability to communicate effectively, both written and verbally, with internal teams and external stakeholders.
  • Ability to work independently and collaboratively in a fast-paced environment.

Service Fee:

Industry standards applicable to the state depending on work experience and level of expertise.

Hours:

US Eastern Standard Time (EST) – 9am to 6pm
