Job description

This is a remote position.

Job Highlights:

Contract: Independent Contractor
Client Timezone: SAINT JOHNS, Florida USA
Schedule:
● Monday to Friday, 9am to 6pm Eastern with an hour unpaid break


Responsibilities:
1. Tenant Communication & Support:
* Provide phone and email support to tenants, addressing inquiries, concerns, and requests in a timely and
professional manner.
* Schedule appointments, coordinate move-in/move-out inspections, and handle repair calls.
* Manage collections, including following up on late rent payments and issuing payment reminders.
* Respond to potential tenant inquiries and schedule property showings.
2. Work Order Management:
* Create, process, and track work orders for repairs, maintenance, evictions, and other property-related tasks.
* Follow up with vendors, contractors, and tenants to ensure timely completion of work orders.
* Coordinate move-in and move-out processes, including inspections and transfer of utilities.
3. Financial Management:
* Create and send invoices, bills, and receipts to tenants and vendors.
* Ensure all bills (utilities, maintenance, etc.) are paid on time.
* Reconcile bank accounts, record payments (checks, money orders, etc.), and resolve discrepancies.
4. Tenant Screening & Leasing:
* Screen potential tenants by verifying references, credit scores, rental history, and employment status.
* Ensure all applicant documentation is complete and meets onboarding requirements.
* Provide application overviews to the property manager or owner for final approva
5. Reporting & Documentation:
* Create leases, addendums in Rentvine portal.
* Create templates as required to make the process more efficie
* Prepare and submit regular status reports to the property manager, detailing the condition of each property,
ongoing tasks, and financial update
* Maintain organized records of leases, work orders, invoices, and tenant communications.
6. Online Listings & Property Management Software:
* List and market available properties on relevant platforms (e.g., Rentvine, Zillow, Craigslist, social media)
and keep listings updated with accurate information, photos, and pricing.
* Manage and update property information in the Rentvine property management portal.
* Monitor online reviews and respond to tenant feedback as needed.
7. Additional Responsibilities:
* Assist with lease renewals and terminations.
* Coordinate with eviction processes, if necessary.
* Stay updated on local landlord-tenant laws and regulations to ensure compliance.
* Perform ad-hoc administrative tasks as required by the property manager or owner.

Preferred Qualifications:
● Proven experience as a Virtual Assistant, Property Manager, or in a similar real estate role.
● Proficiency in any property management software and Microsoft Office Suite (Word, Ex
● Excellent written and verbal communication skills in English.
● Strong organizational and time-management skills, with the ability to prioritize tasks effectively.
● Basic accounting skills for managing invoices, payments, and reconciliations.
● Familiarity with tenant screening processes and leasing documentation.
● Ability to work independently and meet deadlines in a remote work environment.
● Experience with online listing platforms and marketing rental properties.
