This is a remote position.

Schedule:

  • 40 hours per week
  • Monday-Friday, 10am to 6pm New York, NY
  • Includes 30 minutes paid break

Job Description

We’re seeking a detail-oriented and proactive Administrative Assistant to support our thriving sports camp operations. In this role, you’ll be at the heart of our organizational efforts, managing crucial communications, handling important documents, and ensuring smooth logistics for our camps. You’ll work closely with our team to coordinate with facilities, manage coach schedules, and maintain accurate records. This position offers a unique opportunity to combine your administrative expertise with a passion for sports, all while working in a fast-paced, dynamic environment. Responsibilities
  • Manage and organize documents using Google Docs and Google Drive, ensuring all camp-related information is easily accessible and up-to-date
  • Conduct professional phone calls to various facilities, negotiating and securing locations for upcoming sports camps
  • Liaise with gym directors to check availability and book venues for summertime events, ensuring optimal scheduling for our camps
  • Retrieve and organize contracts from facility partners, maintaining a well-organized system for easy reference
  • Coordinate with coaches, confirming their availability for calls and camp sessions, and managing their schedules effectively
  • Handle email correspondence related to camp operations, maintaining clear and prompt communication with all stakeholders
  • Perform accurate data entry tasks to maintain comprehensive records of camp participants, venues, and coaches
  • Support the planning and execution of summertime camp schedules, contributing to the smooth operation of our seasonal programs
  • Assist with general administrative duties as needed, adapting to the dynamic needs of a growing sports camp business
Requirements
  • Proficiency in Google Docs, Google Drive, and basic Microsoft Office applications, with the ability to quickly learn new software as needed
  • Excellent verbal and written communication skills in English, with the ability to interact professionally with various stakeholders
  • Strong organizational skills and the ability to multitask effectively in a fast-paced environment
  • Meticulous attention to detail, especially in data entry and document management
  • Basic understanding of or interest in sports (preferred but not mandatory)
  • Ability to work independently, manage time effectively, and take initiative in solving problems
  • Adaptability and willingness to learn about the sports camp industry
  • Experience in customer service or client relations is a plus
  • Comfortable with making phone calls and negotiating with partners
  • Ability to handle confidential information with discretion and professionalism
