Position Overview
The Office of General Counsel (OGC) seeks a proven legal services professional with a strong background and extensive experience managing and supporting a range of legal services functions related to process development, project management, research, contract administration, and department file maintenance. This position also will support OGC’s work with the Board of Trustees, assist with budget development and administration, and coordinate other important functions of the office. The Legal Services Coordinator reports to the General Counsel and is responsible for overseeing a range of complex activities related to internal process development and project management. This includes research, organizational planning, overseeing special projects, and developing internal policies and processes for the office. The Legal Services Coordinator also supports the office’s work and communications with the Executive leadership and Board of Trustees, and manages external communications under the supervision of General Counsel or designee, including the Deputy General Counsel. Additionally, this position participates in the development of OGC’s knowledge database and resources, assists with updating of policies and procedures, and collaborates with staff in various departments on projects for the entire college. Other responsibilities include preparing and managing contracts; identifying opportunities for improving efficiency; and monitoring, tracking and planning budgets. The Legal Services Coordinator plays a critical role in ensuring the smooth functioning of OGC and supporting the office’s mission of providing competent, timely legal advice and guidance to the college. The Legal Services Coordinator will support and oversee other administrative and operational functions of OGC, as assigned.
Essential Job Duties and Responsibilities
The duties below are representative of the role and are not intended to cover all of the duties performed within the scope of work.
- Oversees the implementation of special projects, particularly those crossing multiple units or departments within the college.
- Develops, manages, and implements internal processes and procedures and policies for OGC operations; and identifies opportunities for improving efficiency of department operations.
- Serves as liaison between OGC and other college departments regarding contract review, preparing and finalizing of board agenda items, and ongoing review and updating of OGC templates and college policies.
- Assists with management of OGC contracts, including preparing requests for proposals or qualification and related procurement and contracting activities.
- Supports OGC’s work with and review of materials presented for consideration by the Board of Trustees and the Executive Team. This includes, without limitation, conducting research and policy analysis, and preparing materials for presentations.
- Manages the process for identifying, distributing, and filing of Statements of Economic Interests by designated college personnel under direction and supervision of General Counsel and/or Deputy General Counsel.
- Manages the process for responding to Public Records Act requests.
- Assist with legal research,document preparation, and filings as required.
- Provides administrative support to the legal department, including scheduling meetings, coordinating travel arrangements for OGC staff, responding to internal and external inquiries, and managing external correspondence. Attends meetings/events in person as needed, and at the request of the General Counsel.
- Monitors compliance with legal regulations and college policies.
- Handles confidential and sensitive information with discretion.
- Assists in developing OGC knowledge database and resources.
- Tracks outside counsel utilization.
- Monitors department budget, makes recommendations on budget expenditures, and assists with the budget development process.
- Perform other related duties as assigned that support the objective of the position.

Minimum Qualifications
- Bachelor’s degree in a field that develops skills related to essential duties, or equivalent academic achievement.
- Minimum five (5) years’ progressively responsible experience relevant to the responsibilities of this position in a legal department of a public sector organization, public institution of higher education, law firm, or nonprofit environment.
- Master’s degree in a relevant field may substitute for up to two (2) years of experience.
Desired Qualifications
- Paralegal certification, degree, or comparable evidence of completion of an approved course of paralegal studies or other legal programs pertaining to the principles of legal research and support functions.
Working Conditions and Travel
- Calbright College is a statewide online college where all instruction and support are done via various online technologies, both in person and remotely. Calbright College has administrative offices in Sacramento available for use. When working remotely, employees should be able and willing to use digital communication tools as used by the college, and have the ability to work on a computer for extended periods of time. Although this is a primarily remote position, there may be instances in which you will be required to attend meetings or travel to in-person events.

- Requires the ability to function in a remote online instructional environment performing work of primarily a sedentary nature.
