As a Client Liaison and Auction Administrator, you’ll be responsible for providing outstanding customer service and administrative support to clients who wish to buy and sell their property with Broad Arrow Group. You’ll work alongside our Car Specialist team to ensure that clients have a positive experience and that the consignment and post-sale process runs smoothly.

What you’ll do
- Manage and review consignment agreements, title and registration documents, and other documentation; flag any potential issues and resolve prior to auction
- Track marketing fees and follow up with clients as necessary to secure payment
- Maintain accurate records in company database by updating consignment details and other information throughout the lifecycle
- Coordinate photography and cataloguing for individual consignments as needed
- Scan historical documents to Research & Editorial team; prepare files for display
- Assist with proofreading and review of marketing materials to ensure that consignment information is presented accurately
- Arrange transport and delivery of consignments to auction site and other locations
- Track waived costs and client recharges; verify that all recharges are captured on settlement statements
- Respond to pre-sale enquiries from sellers and potential bidders
- Process catalog requests, bidder registrations, and guest attendance for Broad Arrow Group auctions and other events
- Prepare check-in paperwork and other onsite reports
- Attend auctions to provide onsite support for clients and Broad Arrow staff
- Manage transfer of title and registration documents from seller to buyer
- Handle post-sale clean up, including invoicing, collecting payments, and making arrangements for removal, storage, and onward transport on behalf of clients
- Serve as key point of contact for any post-sale queries from both buyers and sellers; ensure any issues are escalated appropriately and resolved in a timely manner
This might describe you
- Previous experience in a customer-facing administrative role, preferably within the auction industry
- Strong organisational skills and attention to detail
- Flexibility to work at evenings/weekends and travel internationally to auctions as needed
- Positive mentality with an emphasis on collaboration and teamwork to provide the best advice and outcome for clients
- Excellent interpersonal and communication skills – both written and verbal
- Ability to work calmly under pressure; adept at problem-solving
- Ability to prioritise and manage workflow effectively in order to meet deadlines, particularly while working independently as part of a remote team
- High degree of integrity, confidentiality, and work ethic
- Proficiency in multiple languages, in particular Italian, German, and French
Other things to note
- This position can be worked as a remote position within the United Kingdom with some required travel to continental Europe.
- Familiarity with public company requirements, including Sarbanes Oxley and key regulations, if applicable. For SOX compliant roles, responsible for designing, executing, and documenting internal controls where they have been identified as owners to prevent errors in financial reporting, processes, and business operations. Including attestation to the completeness, accuracy, and compliance of all financial reporting data, where applicable.
