Essential Functions

Position Overview: 

The Executive Administrative Assistant provides high-level administrative support to executives and senior management within ILG. They play a crucial role in facilitating the smooth operation of the executives’ office and assisting in the overall management of their responsibilities. This position requires excellent organizational skills, discretion, and the ability to handle sensitive information with confidentiality. A high level of anticipation is needed.

Key Responsibilities: 

  • Calendar and Schedule Management: Coordinate and manage the executive's calendar, including scheduling and prioritizing appointments, meetings, and conferences. Handle all logistics, such as booking venues, coordinating travel arrangements, and preparing necessary materials. 
  • Communication and Correspondence: Draft and proofread correspondence, presentations, reports, and other documents as required. 
  • Information Management: Organize and maintain executive's files, records, and documents in both physical and electronic formats. Ensure that information is readily accessible and properly archived. Conduct research, compile data, and prepare reports as needed. 
  • Meeting Support: Arrange and coordinate meetings, both internal and external, including preparing agendas, taking minutes, and distributing materials. Follow up on action items and ensure timely completion. Arrange video or teleconference calls as necessary. 
  • Travel and Event Coordination: Coordinate all travel arrangements, including flights, accommodations, transportation, and visas. Plan and organize company events, conferences, and team-building activities, ensuring smooth execution and logistics. 
  • Relationship Management: Maintain positive and professional relationships with clients, vendors, stakeholders, and colleagues. Serve as a liaison between the executive and other staff members, departments, and external contacts. 
  • Confidentiality and Discretion: Handle confidential and sensitive information with the utmost discretion. Maintain a high level of professionalism and integrity when dealing with sensitive matters. 
  • Administrative Support: Provide general administrative support to the executive, including managing expense reports, processing invoices, maintaining office supplies, and coordinating with other support staff. 

Education & Experience

Required:

  • Bachelor's Degree

  • Excellent organizational and time management skills
  • Strong attention to detail and accuracy
  • Exceptional verbal and written communication skills
  • Proficiency in using productivity software such as Microsoft Office Suite (Word, Excel, PowerPoint) and collaboration tools.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
  • Strong problem-solving and decision-making abilities
  • Discretion and ability to handle confidential information appropriately.
  • Professionalism and strong interpersonal skills
  • Knowledge of office management systems and procedures
