Summary of Job Duties:
This position reports directly to the Manager of Cancer Foundation Finance and is responsible for coordinating activities and events for Winthrop P. Rockefeller Cancer Institute (WPRCI) Board of Advisors, Envoys Board, and numerous WPRCI Special Events. Requires executive-level scheduling skills involving multiple calendars, as well as the ability to arrange venues, catering, tours, and informational materials. Works with groups across the UAMS campus as well as with external partners.

  • Bachelor’s Degree in Communications, Business, Human Resources, or a related field and three (3) years of project coordination experience OR High School diploma and seven (7) years of project coordination experience


Additional Information:

Responsibilities:

  • Coordinates all logistics for the WPRCI Board of Advisors and its committees or sub-boards, including but not limited to making physical arrangements, invitations and notices, program presentations, catering, informational materials, minutes, and follow-up.

  • Coordinates logistics for special meetings involving senior UAMS leaders, Board members, and other donors.

  • Responsible for coordination with groups across campus to ensure information is available and up to date for all board members and UAMS officials at all times, especially before board meetings.

  • Requires executive-level scheduling involving multiple calendars, as well as venue arrangements, catering, tours, informational material, etc.  

  • Demonstrates a high level of confidentiality, integrity, and innovative thinking to help achieve desired outcomes as defined by the WPRCI Board of Advisors. Promotes and models positive multidisciplinary collaboration and interaction with volunteers, colleagues, and the management team.

  • Adheres to all UAMS policies and procedures.

  • Supports the overall operations, by assisting with mailings, event and meeting preparations, or other duties as assigned.

  • All administration coordination concerning WPRCI boards is performed only at the direction of Cancer Institute leadership.

  • Helps coordinate and manage WPRCI fundraising events by working with WPRCI Board of Advisor members, WPRCI Leadership, UAMS personnel, and other partners.

  • Assists in the development of content to be used in event marketing and promotion materials (i.e., sponsorship packets, participant forms, event proposals) and working with UAMS Creative Services to ensure the completion of developed materials.

  • Facilitates the participation of multiple groups across UAMS, including but not limited to Institutional Advancement, the Office of General Counsel, the Office of the Chancellor, Campus Operations, Creative Services, and other UAMS stakeholders.

  • Secures necessary venue and vendors.

  • Works with internal departments such as Campus Housekeeping, Campus Operations, Parking, Nutrition Services etc. to ensure all logistical pieces have been properly handled.

  • Establishes and maintains contacts with the various departments in Arkansas State agencies as well as officials in the City of Little Rock, and other various cities to ensure compliance on the state and city level regarding WPRCI events. Responsible for requesting and processing invoice payments and other expenses related to WPRCI special events.

  • Documents and forwards financial documents received to the UAMS Foundation office.

  • All special events coordination and support are performed only at the direction of Cancer Institute leadership.

  • Helps to identify and solicit potential sources of gifts and support for WPRCI-specific fundraising events that are not under Institutional Advancement. Collaborates with internal and external sources to establish relationships that will lead to soliciting sponsorships for fundraising events, in person and through mailings.

  • Responsible for ensuring that information is provided to the donor database with the Institutional Advancement, providing any received updates due to donor correspondence during WPRCI events.

  • All involvement with WPRCI fundraising activities is performed only at the direction of Cancer Institute leadership.

  • Other duties as assigned.
