Description

Job Title: Payroll Manager
Reports to: Senior Manager, People Operations

Job Overview

As a Payroll Manager, you will be instrumental in managing our payroll processes and ensuring the efficient operation of our People Operations systems. This dual-focus role combines expertise in payroll execution with technical know-how in optimizing People Operations technology to support our growing organization.

Responsibilities

Payroll Management:

  • Oversee all payroll processes to ensure accurate and timely payroll execution, including salaries, benefits, garnishments, taxes, and other deductions.
  • Handle payroll-related queries and issues with professionalism and confidentiality.
  • Oversee and process quarterly and annual payroll reports, including W-2 and ACA reports.

Benefits Reconciliation:

  • Perform reconciliation of bi-weekly payroll deductions to monthly billing, ensuring enrollments align with elections.

Retirement Plan Administration:

  • Process retirement deferrals and company matches, ensuring proper fund transfers to the retirement plan.
  • Oversee the annual 401(k) plan audit and Form 5500 filing.
  • Host monthly 401(k) introduction meetings for newly eligible employees.

People Operations Systems Analysis:

  • Evaluate and analyze People Operations systems to ensure efficiency and effectiveness.
  • Recommend and implement improvements to streamline processes and enhance user experience.

Compliance and Reporting:

  • Ensure compliance with federal, state, and local payroll, wage, and hour laws.
  • Collaborate with the accounting department to maintain tax accounts and assign proper state tax profiles for employees.
  • Prepare reports for management as needed.

Integration and Optimization of People Operations Systems:

  • Work on integrating People Operations systems to ensure seamless data flow and accessibility.
  • Assist with system reporting and support projects related to system upgrades and implementations.

Training and Support:

  • Provide training to People Operations and other departments on using systems effectively.

Data Management and Security:

  • Manage sensitive data, ensuring confidentiality and compliance with data protection regulations.

Process Improvement:

  • Continuously assess and enhance payroll and People Operations system processes for efficiency and accuracy.
  • Establish operational guides (OGs) for internal and employee use to improve navigation of systems.

Vendor Management:

  • Liaise with People Operations system vendors for support, troubleshooting, and system upgrades.

Project Management:

  • Lead or support People Operations technology projects, including system implementations and process improvements.

Other Assignments:

  • Take on additional People Operations-related tasks and projects as requested by leadership.
Requirements

Required Qualifications:

  • Bachelor’s degree in Human Resources, Business Administration, Finance, or a related field.
  • Proven experience in payroll processing and People Operations systems management.
  • Strong understanding of payroll regulations and reporting requirements.
  • Expertise in payroll and People Operations software, with experience in system implementation and integration.
  • Excellent analytical and problem-solving skills.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Exceptional communication and interpersonal skills, with an emphasis on confidentiality and professionalism.
  • Proficiency in Microsoft Office Suite and Google Suite.

Preferred Qualifications:

  • Experience leading projects related to payroll or People Operations systems.
  • Familiarity with People Operations processes in a fast-paced or growing organization.
