Job description

Location and Workplace: Cebu, Philippines, Work from Home

Shift Schedule: Dayshift (7 AM- 4 PM)

Salary: Up to 26,000 PHP


We are seeking a highly organized and detail-oriented Support and Admin Assistant to join our team. The successful candidate will be responsible for managing email correspondence, processing employee timesheets, assisting with recruitment tasks, and handling invoicing duties.


About the Job


Key Duties:


  • Attend to Inbox, ensuring emails are ticketed and allocated to the appropriate department with the correct ticket type.
  • Evaluate all employee timesheets from the previous day; either approve them or raise a ticket if further clarification is needed.
  • Contact employees who have not clocked on for their shift, except for those on the Do Not Call list.
  • Answer and assist calls received on the Help Desk hotline.
  • Resolve tickets in the Help Desk bucket by following the SOP for each query.
  • Update client portals as requested by the Operations Team.
  • Complete and invoice quotes/work orders for Portal Closure and Supply bucket.

Recruitment Tasks:

  • Conduct daily prospect screening.
  • Follow up with applicants who did not submit their formal application.
  • Review documentation, create applicant folders, and manage onboarding documents.
  • Add applicants to the system upon receiving complete signed documents.
  • Manage job postings on Indeed.

Other Tasks:

  • Process Security Pass applications.
  • Undertake ad hoc tasks from the Operations Team or Management.
  • Monitor Client Portals and report issues
  • Maintain up-to-date written procedures and save them in SharePoint.

Invoicing Tasks:

  • Process supplier invoices.
  • Close remittance tickets.
  • Report any invoices that cannot be processed in Client Portal.

Monthly Tasks:

  • Complete work orders in client portals.
  • Send invoices to clients.
  • Submit reports when needed and accept work orders in client portal.
  • Close and repost job ads that are over 30 days old on Indeed.

  • High attention to detail for invoicing and applications.
  • Flexible and adaptable to dynamic work environments.
  • Strong administrative background (preferred).
  • Proficient in using various software applications with a quick learning curve.
