Job description

Job Overview

Manage administrative support across all Lifecycle Safety service lines for the SO and LSM functions. Provide support to junior administrative team members.

Essential Functions:

  • Lifecycle Safety Data Processing:

    • Collect, track, and distribute Adverse Events (AE) information.

    • Review and prepare endpoint documentation.

    • Transfer events to clients and track submissions.

  • Project Workflow Assistance:

    • Database entry, quality control, and report generation.

    • Prepare submission dossiers and assist with deadline quality measurements.

  • Administrative Team Support:

    • Handle project start-up tasks and maintain project files.

    • Manage systems access and distribute AE listings.

  • Safety Report Coordination:

    • Schedule and submit safety reports to relevant authorities.

    • Perform various administrative tasks (e.g., label creation, document copying).

  • Case Folder Management:

    • Create, maintain, and archive case folders.

    • Coordinate transfer of archived materials to storage facilities.

  • System Support Tasks:

    • Create project-specific entry specifications and tracking spreadsheets.

    • Assist in database validation and perform ad hoc searches.

  • Administrative Oversight:

    • Coordinate meetings, order stationery, and provide general administrative support.

  • Training and Continuous Improvement:

    • Train and mentor new staff.

    • Identify and implement workflow efficiencies.

  • Committee Involvement:

    • Participate in local and global department committees.

  • Other Duties:

    • Perform additional tasks as assigned.

Qualifications

  • Bachelor's degree

  • Advanced level of English

  • Proficiency in Microsoft Office and web-based applications.

  • Excellent organizational, time management, and communication skills.

  • Attention to detail and accuracy.

  • Ability to follow instructions, utilize initiative, and work independently.

  • Proven ability to multi-task and manage competing priorities.

  • Willingness and aptitude to learn new skills across all Lifecycle Safety service lines.
