What the job covers

  • Diary management, meeting coordination and minute taking, travel arrangement and related tasks for the Managing Director APAC.
  •  Oversee all administration work for HR and operations.
  • Internal project reporting and communications

Reporting and Communication Structure

  • The Managing Director APAC. And supports the wider senior management team as required.
  • With dotted line to the Head of People and Culture APAC.

Responsibilities 

  • Full diary management for the MD APAC – ensuring meetings are booked, and confirmed and that MD APAC is aware of all changes.
  •  Assist with preparation, research, and printouts, etc. for key meetings;
  • Scheduling and coordinating attendees for both external and internal meetings.
  • Scheduling and coordinating attendees for internal training webinars;
  • Arrange internal or external meeting rooms as required for meetings;
  •  Managing business travel arrangements for MD APAC as well as for the Department.
  •  Heads and Leaders – ensuring the best deal and obtaining all possible benefits available from loyalty points or similar promotions;
  • Attending key meetings and taking comprehensive minutes.
  • Supporting with some personal admin duties for MD APAC to free up her time for business growth;
  • Supporting the wider senior management with urgent matters if required
  • Ad hoc office management and admin support where required.
