Administrative and Travel Coordinator VA

We are a busy professional organization led by a physician juggling multiple roles, including emergency medicine, expert witness services, and frequent travel. We are looking for a proactive and detail-oriented Virtual Assistant to provide comprehensive administrative and travel planning support. The Virtual Assistant will play a critical role in ensuring smooth operations across personal and professional domains. The primary responsibilities include managing schedules, coordinating travel plans, organizing legal case files, and supporting general administrative tasks.

Key Responsibilities:

  • Travel Planning:
    Research and book domestic and international flights, accommodations, and transportation.
    Prepare detailed travel itineraries and ensure all documents are organized.
    Manage and coordinate personal and professional travel, including up to 18–20 trips annually.
  • Administrative Support:
    Maintain and organize schedules across five hospital engagements.
    Assist with expert witness case management, including organizing legal documents and communication.
    Create and manage spreadsheets, notes, and itineraries using Google Workspace (Docs, Sheets, Drive).
    Handle email correspondence and manage communications via Google Voice.
  • Data Security and Privacy:
    Adhere to data privacy standards and confidentiality requirements.
    Use secure platforms such as LastPass for credential management.

Qualifications:

  • Proven experience as a Virtual Assistant, Administrative Assistant, or similar role.
  • Proficiency with Google Workspace (Docs, Sheets, Drive, Google Voice).
  • Strong organizational and multitasking skills.
  • Experience in travel planning and coordination (domestic and international).
  • Excellent verbal and written communication skills.
  • Familiarity with LastPass or similar password management tools.
  • Knowledge of handling sensitive data securely and ethically.
  • Background in supporting professionals in the medical or legal field.
