Job Title: Lease Renewal Coordinator
Location:
Remote UK (CST Time zone)
Salary Range:
up to 1600 USD

Work Schedule:
Monday - Friday, 8:00 AM to 4:00 PM (CST)

About the Company:

The company specializes in property management services, ensuring seamless lease renewals and tenant satisfaction while maintaining operational efficiency.

Position Overview:

The Lease Renewal Coordinator will manage the lease renewal process end-to-end, ensuring timely and accurate execution. This includes handling reports, organizing documents, data entry in AppFolio, and tenant communications. The ideal candidate will bring exceptional attention to detail, strong organizational skills, and proficiency in relevant tools to support seamless operations.

Key Responsibilities:

Preparation & Organization:

  • Pull and organize renewal reports by property in Google Sheets.
  • Label renewals by effective month and categorize increases based on a renewal matrix.
  • Separate renewals into Year and Month-to-Month (MTM) tabs for streamlined processing.


Document Creation & Management:

  • Update templates with the correct send date before generating renewal letters using Autocrat or similar tools.
  • Save and organize generated letters in Google Drive folders.
  • Compress documents using WinZip or similar tools for distribution.


Collaboration & Distribution:

  • Email zipped files to the Income Specialist/Focus Team for printing and mailing.
  • Coordinate mailing schedules and tenant follow-ups with the Income Specialist.


Data Entry & Communication (AppFolio):

  • Update tenant records, including expiring charges, future charges, and leasing information.
  • Attach renewal letters to tenant pages and email them to residents.
  • Send renewal offers and notifications via text messages, including links for scheduling calls with the Income Specialist.


Tracking & Reporting:

  • Monitor tenant responses and renewal statuses, including lease sign-ups and scheduled calls.
  • Maintain accurate logs for management review.


Required Skills & Qualifications:

Technical Proficiency:

  • Google Workspace: Expertise in Google Sheets, Docs, and Autocrat.
  • AppFolio: Experience with property management software for data entry and communication.
  • File Management: Proficiency in document compression tools like WinZip.
  • Attention to Detail & Accuracy: Ability to double-check templates and ensure compliance with company policies.
  • Typing & Time Management:
    >> Fast and accurate typing skills.
    >> Proven ability to meet strict deadlines.
  • Communication Skills:
    >> Professional written and verbal communication.
    >> Customer-service-oriented mindset for tenant inquiries.
  • Analytical Skills: Comfort with calculating rent increases and tracking performance metrics.


Performance Metrics:

  • Accuracy in applying rent increases and processing renewals.
  • Timely completion of renewals (e.g., rent increases processed >90 days in advance).
  • Quality communication with tenants and internal teams.
