The Role 
As the Senior Payroll Specialist at Alsana, you will provide a vital role that is responsible for supporting the financial and administrative functions of the Business Office, ensuring adherence to proper internal controls, generally accepted accounting principles and the facility’s policies and procedures.  Functions within this department include financial counseling, accounts payable, payroll, and general accounting.  
 Payroll Responsibilities 
  • Manage all aspects of the payroll process to ensure accurate and timely production of employee pay checks for all locations.
  • Process, validate, and maintain employee time worked data insuring compliance with federal, state and local laws as well as time keeping policies.
  • Prepare bi-weekly payroll and obtain prior review and approval from the Controller prior to transmitting bi-weekly payroll.
  • Ensure that the Company’s payroll and payroll reporting expense accounts are correct. Ensure proper cutoff on items affecting inter-period allocation.
  • Act as subject matter expert and decision maker when employees and managers have issues with payroll system usage, policy interpretation and other inquires.
  • Prepare calculations and reconcile compensatory time off, vacation, sick and personal time, employer costs (i.e. 401k, HSA) including preparation of required journal entries.
  • Enforce accountability for procedures and deadlines with leaders and employees.
  • Periodic Quality Assurance checks to ensure employee benefit enrollment premium deductions are in line with vendor data.
  • Implementation of changes to processes and procedures as a result of an external payroll audit; perform periodic audits on a pre-determined interval.
  • Subject matter expert for payroll laws, regulations. Advise leader accordingly.
Other Responsibilities
  • Responsible for the developing and updating policies and procedures related to payroll processing.
  • Keep management informed of any issues arising on individual accounts or system/process issues.
  • Assisting in performing and documenting monthly account reconciliations supporting the financial statements.  Investigate and communicate any ongoing outstanding items on the reconciliations.
  • Assisting in bi-weekly payroll journal entries to the Company’s general ledger system as prepared by other accounting personnel.
  • Assisting in responding to payroll vendor inquiries in a timely manner and resolves any outstanding issues.
  • Responsible for the testing, participation in process change decision making and functionality of all software regarding payroll.
  • Assist with external audit requirements and provide requested items for audit selection testing including payroll reports and respond to audit questions and comments timely.
  • Assists in generating detailed payroll related reports as requested.
  • Identifies and implements process improvements for functional areas of responsibility.
  • Ensure compliance with federal, state and local regulations as well as maintaining compliance with company policies and procedures.
  • Crossed trained to support or manage Accounts Payable function when needed.
  • Complete requests for compensation verifications, employment verifications and other payroll related human resources requests.
  • Enter, make changes and terminate benefit enrollment in payroll and benefit vendor systems.
  • Other duties and special projects as assigned as it relates to the functional areas mentioned within.
Qualifications 
  • Minimum of a Bachelor’s degree preferably in Accounting or Finance.
  • Must have a minimum of four years prior payroll processing, and accounting experience.  
  • Experience handling payroll in multiple states, preferably California, with in-depth knowledge of various employment /wage and hour laws.
  • Ability to make decisions independently
Preferred:
  • Master’s degree in Accounting of Finance or CPA.
  • Experience with implementation of new payroll system a plus in healthcare.
Salary: $70,000-$75,000 annually
