Senior Equity Administrator (Part-Time)

Hybrid role

Role Summary

We are looking for an experienced and highly motivated part-time Senior Equity Administrator experience to join our accounting team. The Equity Administrator is responsible for administration of the company’s equity compensation plans including the equity process as well the Employee Stock Purchase Program and will coordinate with cross-functional partners to ensure accurate processing, reporting, and disclosure of employee stock transactions.

What You’ll Do

  • Lead the stock administration function and manage the company’s equity program, including process improvement and implementing automated solutions
  • Oversee the management and administration of the company’s stock plan (stock options, RSUs, ESPP, as applicable), including eligibility, enrollment, approvals, processing equity awards, handling vesting’s, exercises and settlements, tax withholdings, cancellations, terminations, managing blackout periods and any other plan-related actions
  • Administer Employee Stock Purchase Plan, including global payroll coordination, issuance of communications, and processing related to enrollment windows, purchase and offering periods.
  • Partner with other functional leads (including Legal, Human Resources, and Payroll) to develop processes to ensure the accuracy of all equity data, including all aspects of record keeping, withholding, reporting, reconciliation and auditing as well as ensure that appropriate internal controls are in place and procedures are followed to comply with SOX requirements
  • Ensure database integrity and accuracy of employee data and equity data in the stock administration system
  • Oversee and manage relationships with external equity trading platform and transfer agent
  • Maintain compliance with the terms and conditions of the company’s equity plans and internal processes and procedures related to equity administration
  • Support employee understanding of equity awards programs and policies through the preparation of training materials, employee communications, and supporting employee understanding of stock plan services, enrollment and transactions
  • Reconcile monthly equity activity, including shares outstanding and share pool balances
  • Participate in the preparation of the annual proxy filing, including providing and reviewing equity data
  • Assist with the preparation, review and submission of all equity related financial statement audit and internal control requests
  • Act as the primary contact for employees for all equity administrative matters, answer questions, assist with employee education and resolve any issues or concerns.
  • Stay updated on equity regulations, tax laws and industry trends, implementing necessary changes to ensure compliance and best practices globally.

Basic Qualifications

  • Bachelor's degree in business administration, finance, or accounting
  • 5+ years of experience in stock plan administration or equity compensation management

Preferred Qualifications

  • Certification is highly desirable – Certified Equity Professional (CEP).
  • Domestic and international knowledge of regulatory and compliance matters related to equity programs and taxation.
  • Relevant stock administration experience or equivalent experience in a publicly traded company
  • Experience collaborating with HR and legal teams, including cross-functional initiatives that include indirect reports.
  • Experience working with stock plan administration software and Microsoft Excel
  • Experience managing processes and systems to maximize effectiveness in a SOX compliant environment
  • Strong time management and organizational skills.
  • Ability to handle extremely confidential information in an expeditious and discretionary manner
  • Self-motivated; able to work independently and manage and prioritize conflicting demands on time
  • Demonstrated customer service focus
