Description

The Senior Accounts Receivable Specialist oversees the management of customer accounts, ensuring timely resolution of invoicing, payment, and dispute issues. This role is key in maintaining positive customer relationships with all national brick-and-mortar dealer accounts, collaborating with Sales and Warehouse teams, and driving efficient collections processes. The specialist will monitor account aging, manage credit terms, and contribute to month-end close tasks, ensuring accuracy and financial alignment across departments. This position plays a critical role in maintaining cash flow and supporting the company's financial health. They will report to the Accounts Receivable Manager.

Key Responsibilities:

  • Serve as the primary point of contact for customer inquiries related to account statements, invoices, credit memos, and disputes.
  • Maintain professional, consistent communication to foster positive customer relationships.
  • Contact customers regarding aged invoices and work with accounts payable teams to resolve issues.
  • Send monthly customer statements and follow up on outstanding balances.
  • Address and resolve deductions, disputes, overdue invoices, and payment-related issues.
  • Work closely with the Warehouse team to resolve disputes and track items in national account dispute portals.
  • Apply customer payments (ACH, CC, wire, check) and issue credit memos as needed.
  • Monitor and review deductions in national account portals, ensuring disputed items are logged and tracked.
  • Collaborate with the Sales team to set up new customer accounts, review vendor agreements, and manage credit limits and terms.
  • Regularly review AR aging reports and take necessary action on outstanding invoices and credit memos.
  • Shadow team members and review SOPs to gain a thorough understanding of processes and systems.
  • Assist with system projects and month-end close tasks as needed.

 

Qualifications

Qualifications:

  • Accounting degree preferred, but not required. Relevant work experience may be considered in lieu of a formal degree.
  • Proven experience in accounts receivable, collections, or a related financial role, preferably within a large organization or with national retailers.
  • Strong verbal and written communication skills to effectively interact with customers, internal teams, and vendors.
  • Strong interpersonal skills and a commitment to maintaining positive customer relationships while ensuring financial accuracy.
  • Experience working cross-functionally with Sales, Warehouse, and other internal teams to resolve customer issues and improve processes.
  • High level of accuracy and attention to detail when managing invoices, payments, and disputes.
  • Ability to manage multiple tasks and priorities effectively, especially during month-end close and other critical deadlines.
  • Proficiency in accounting software (NetSuite preferred), Microsoft Excel, and familiarity with national account portals. Experience with payment processing (ACH, CC, wire, check) and issuing credit memos.
  • Ability to address and resolve disputes, deductions, and payment-related issues in a timely and professional manner.
  • Wal-Mart Retail Link and vendor portal experience is a plus.
