Job description

Job Title: 29954 -RFR-DTS-003– SAP ERP Project Coordinator
Office Location: Onsite & Remote
#Business Days: Up to 24 Month
Duration: The duration of the engagement may be for up to a 24-month term. Due to the nature of projects, there may be exceptional circumstances where the total term may be extended beyond 24 months. The 24-month term is anticipated to start with a 6-month initial term followed by an 18-month renewal
Description
SERVICES AND DELIVERABLES
  • All Services will be performed on-site with primary location at 215 Garry Street, Winnipeg, in the province of Manitoba, regardless of the location of residence of the Proponent’s resource. The service location of the resource may change as a part of STATEMENT OF WORK between Proponent and Manitoba. Manitoba at its sole discretion may provide an option to work remotely. The remote working rate is the rate at which the proponent’s resource will work primarily remotely and called onsite if needed at Manitoba’s sole discretion. The onsite rate is the rate at which proponent’s resource will work primarily onsite as per the location defined in STATEMENT OF WORK and may work remotely if needed with prior written permission from Manitoba at its sole discretion. The Proponent shall provide discounted remote working rate along with onsite rate for their resources in the submission. 
  • Standard working hours for the resource will be in accordance with Manitoba usual working hours of 8:30 am to 4:30 pm CST (7.25 hours per day), Monday to Friday. Manitoba offices are closed on all Manitoba statutory holidays, and these days will be unpaid. Manitoba at its sole discretion may decide that at certain times extended working hours are needed to meet project deadlines. But extended working hours are to cover exceptional circumstances and may not be available during the entire duration of the engagement with the proponent’s resource.  Overtime work cannot be used and billed unless approved by Manitoba with an advanced written approval. 
  • The Successful Service Provider is to provide a cell phone to its resource at its own cost. 
  • The details of hardware and software required to deliver the services to Manitoba will be provided in final STATEMENT OF WORK between Proponent and Manitoba.
  • Manitoba will only pay Proponent for the time worked by the Proponent’s resource on the projects assigned by Manitoba. While assigned to the project, the time spent waiting (e.g. for approvals and signoff on deliverables) is not billable. Manitoba will use reasonable efforts to assign other projects’ and deliverables. 
  • Proponent’s proposed resource shall provide outcome-based value to Manitoba while working on projects assigned by Manitoba. Proponent’s resource shall not bill Manitoba for repetitive rework on any deliverables. Acting reasonably, Manitoba may allow one or two feedbacks and rework based on those feedbacks. Examples of repetitive rework includes but are not limited to:
  • Architectural Review Board (ARB) approval document needs repetitive rework to get approved through ARB process
  • Business Requirements Document needs repetitive rework to get approved from Manitoba
  • Project charter needs rework repetitively to get executive approval
  • During the engagement, if services from the resource is discontinued by the Proponent, the cost of the transition to the new resource will be borne by the Proponent. If Manitoba requests to change the Proponent’s resource the cost of transition will be borne by Manitoba.
  • Services to be provided
The Project Coordinator is expected to assist Project/Program Managers with various day-today project management tasks
Responsibilities:
  • Schedule, attend and participate in planning and collaboration meetings.
  • Document and follow up on important actions and decisions from meetings
  • Support the project/program managers in the preparation of necessary presentation materials
  • Support the project/program managers in ensuring that project deadlines are met
  • Provide administrative support as needed
  • Undertake project tasks as required
  • Maintain program management artefacts in alignment with the established program management framework and methodologies
  • Ensuring projects adhere to frameworks and all documentation is maintained appropriately
  • Provide support for program governance activities
  • Co-ordinate and contribute to reporting and briefing materials for various levels of management
  • Support project/program managers in the identification and management of issues and risks
  • Support project/program managers in planning and tracking project activities using collaboration management tools
  • Create and maintain comprehensive supporting documentation as required
  • Identify tools to be used by the project
  • Assist in setting up the identified tools
  • Review, evaluate and suggest changes to proposed methods in-line with Manitoba procedures and policies
SKILL REQUIREMENTS/QUALIFICATIONS
A clean criminal record check status will be required at the proponent’s expense prior to the successful Service Provider Resource(s) arriving onsite or working remotely. Maintaining a clean status is required throughout the Proponents contract.  An enhanced background check, completed by Manitoba may be required on certain projects due to the confidentiality of the materials shared to the Proponent. If the proponent fails, they must rectify on their own cost and time.  
The following are minimum qualifications and/or experience for the delivery of the Services.
The Resource must have the following minimum qualifications or experience:
  • Minimum four (4) years of experience as a Project Coordinator  
  • Experience providing program co-ordination support for a large, diverse program with an established program management framework 
  • Experience tracking project/program budget and schedule 
  • Experience with coordinating and contributing to reporting and briefing materials 
  • Strong political acumen 
  • Excellent analytical, problem-solving and decision-making skills 
  • Strong interpersonal skills capable of maintaining strong relationships 
  • Strong presentation, verbal and written communication skills 
  • Strong organization and multitasking skills 
  • Ability to pay attention to detail and think ahead 
  • A team player with a track record for meeting deadlines and delivering high profile complex initiatives 
  • Experience in the use of collaboration management tools such as Microsoft Teams 
  • Experienced user of MS Office toolset including Microsoft project, Word, Excel, PowerPoint, SharePoint and Teams 
  • Knowledge of Project Management best practices 
Desired Experience and Skills:  
  • Experience as a Project Coordinator in Public Sector 
Certification from project management accreditation body such as PMI (Project management Institute) or PRINCE2
