Job description

This is a remote position.

Job Description for Executive Assistant

Responsibilities:

  • Manage executive calendars, coordinate meetings, and book appropriate meeting spaces
  • Handle internal and external communications, including email management and prioritization
  • Perform financial administration tasks such as creating invoices, processing payments, and reconciliations
  • Assist with aspects of payroll and financial transaction management
  • Prepare and vet financial documents for accuracy and compliance
  • Organize and maintain digital and physical filing systems
  • Provide general administrative support for day-to-day company operations
  • Support the company’s transition to a SaaS model by assisting with new initiatives and processes

Requirements:

  • Proven experience as an Executive Assistant or in a similar role
  • Strong proficiency in English, both written and verbal
  • Excellent organizational and time management skills
  • Familiarity with financial software such as Xero or Dext
  • Familiarity with communication tools like Slack or Microsoft Teams
  • Keen attention to detail, especially in financial matters
  • Ability to work independently and manage multiple priorities
  • Adaptability and willingness to learn new software and processes
  • Comfort with remote work and flexibility to align with the South African time zone

Scope:

  • Monday to Friday, 8am to 5pm Central Africa Time
  • Potential for handling confidential company and financial information
