Job description

Overview

We are seeking a detail-oriented, proactive Virtual Administrative Assistant to support our growing business. This role requires strong organizational skills, excellent communication abilities, and the flexibility to handle multiple administrative tasks in a fast-paced environment. The successful candidate will play a key role in improving operational efficiency and delivering a seamless experience for clients and team members.

Note: Only candidates who meet the required qualifications and proficiency levels in the specified tools would be considered, as these criteria are NON-NEGOTIABLE.

About The Role

  • Compensation: 540 AUD/month (paid twice a month)
  • Schedule: Monday-Thursday AEDT (24hrs/week)
  • Availability: Start ASAP

Key Responsibilities

Administrative Support

  • Respond to emails and inquiries professionally and promptly.
  • Manage inventory and pricing updates on the Shopify store.
  • Organize and maintain digital files and records systematically.

Calendar and Task Management

  • Schedule meetings, appointments, and events.
  • Assist in prioritizing tasks to ensure efficient time management.
  • Use tools like Asana or Trello to track and manage project deadlines.

Data Entry and Analysis

  • Accurately input and maintain data in spreadsheets, CRMs, and databases.
  • Generate reports and dashboards using Excel to support business operations.

Client and Team Communication

  • Handle client inquiries and provide prompt, clear, and helpful responses.
  • Act as a liaison between the team and stakeholders for effective collaboration.

Problem-Solving and Initiative

  • Identify challenges and propose solutions proactively.
  • Adapt to changing priorities and workflows as needed.

Research and Reporting

  • Conduct market research and gather insights on competitors and industry trends.
  • Prepare comprehensive reports based on research findings.

Technical Proficiency

  • Manage tools such as Shopify, Excel, and Word to execute tasks effectively.
  • Troubleshoot minor technical issues and seek solutions as required.

Confidentiality and Professionalism

  • Handle sensitive business and personal information with discretion.
  • Maintain a professional demeanor in all communications and interactions.

Required Skills And Qualifications

  • Exceptional written and verbal communication abilities.
  • Proficiency in tools like Shopify, Excel, Word, and project management software.
  • Detail-oriented with a high degree of accuracy.
