The Operations Coordinator (prior companywide job title change know as Seasonal OPS Specialist) role at Backroads involves overseeing the management and maintenance of our van fleet, coordinating the loading and unloading of equipment, and ensuring smooth logistical operations across multiple European locations. This role is available in both full-time and seasonal positions in Tuscany, Italy, and the Czech Republic. Responsibilities include inventory management, supervising a small team, coordinating van servicing, and leading seasonal projects. Please notice the difference in benefits that comes with Full Time role versus Seasonal role
Seasonal Operations Coordinator season:
The seasonal Operations Coordinator seasonality is September/October to May/June working 40 hours/week/5 working days (Monday – Friday). The role will receive a holiday package according to Czech or Italian standards. Depending on your other roles at Backroads, you may lead trips, work as TPS, or take time off during the summer months. We want to consider candidates who can commit to a minimum of 2 years for this type of job.
Hiring Timeline:
Our goal is to fill all 5x positions by February 1st. If you are applying for the seasonal role, you would work from February to May/June and start again in October.
What You’ll Do:
As an Operations Coordinator, you will be responsible for overseeing the van fleet and managing various logistics operations, ensuring that everything runs smoothly for every trip. Whether you're working full-time or on a seasonal basis, your responsibilities will include:
  • Van Fleet Operations: Manage and maintain the van fleet, ensuring that all vehicles are in optimal condition and stocked with the necessary equipment for each trip.
  • Unit Load Management: Supervise van preloading, ensuring that all inventory and equipment are properly loaded and meet quality standards.
  • Inventory & Service Supervision: Oversee inventory management and van servicing, ensuring that minor maintenance issues are handled efficiently.
  • Winter and Seasonal Projects: Manage seasonal projects related to vans, including winterization and end-of-season maintenance.
  • Team Leadership: Lead a small team of seasonal operations specialists, ensuring the efficient coordination of tasks and smooth workflow.
  • Communication with Field Staff: Serve as the main point of contact for field staff regarding unit load-related issues and operational concerns.
  • Warehouse Management: Organize the warehouse, including receiving and sending packages, operating a forklift, and performing inventory checks.
  • Logistics Coordination: Assist in scheduling and coordinating van arrivals, departures, and the loading/unloading process.
  • Onboarding and Restitution of Vans: Oversee the onboarding of new vans and the restitution of older vehicles.

Key Qualifications:
  • Proficiency in Microsoft Excel, Word, and Outlook
  • Strong verbal and written communication skills in both the relevant local language (Italian for Tuscany, Czech for Czech Republic) and English
  • Experience with driving vans and maneuvering trailers
  • Ability to lift up to 50lbs
  • A clean driving record
  • Forklift operation experience is a plus
  • Previous warehouse or operations experience is preferred
