The Opportunity

Valvoline has a rewarding opportunity as a Maintenance Dispatcher. In this role, you will coordinate and dispatch maintenance and repair work to ensure smooth facility and equipment operations; maintain the daily schedules for all Service Technicians and dispatch technicians across all regions for return trips and emergency work; maintain the on-call schedule for service technicians for all regions; and provide clear and concise communication with maintenance and facilities leadership, employees, and service center team, including keeping service center managers appraised as to schedule and requested lead-times.

 

How You'll Make a Difference

  • Work Order Management: Serve as the primary contact between maintenance supervisors, vendors, and requesters. Communicate job expectations, work order details, and follow-up actions. Enter and prioritize maintenance and repair requests from various sources (phone, email, online systems). Assign work orders to appropriate technicians or vendors based on the urgency and nature of the request. Work with the Service Center team to diagnose issues with the intent to fix them over the phone when possible. Monitor the status of ongoing tasks, reallocating resources as necessary. Work with third-party vendors as necessary to arrange for specialized repairs or maintenance. Ensure compliance with service agreements and timely service delivery.
  • Enter, update, and maintain accurate records of work orders, technician assignments, and maintenance history in the designated system. Collaborate with maintenance supervisors and document/communicate any follow-up requirements.
  • Reporting: Initiate periodic work order audits to provide feedback to Supervisors; produce analytics to Management to improve departmental efficiency. Prepare and distribute regular reports on maintenance activities, including open and closed work orders, technician performance, and areas for improvement.

What You'll Need to Succeed

  • High School Diploma or equivalent
  • Minimum of three years of facilities maintenance experience, preferably in a retail or multi-unit maintenance environment
  • Previous experience in a facilities maintenance environment including mechanical aptitude and skills; knowledge of Service Center machinery, warranty service processes, and parts
  • Strong organizational skills, with the ability to manage workflow with a focus on priorities and deadlines
  • Clear, concise communication with all internal teams, cross-functional stakeholders, and external vendor partners
  • Knowledge of Access and Microsoft Office (including Outlook, Word, and Excel)
  • Ability to quickly learn new software and programs
  • Ability to understand and interpret elements, develop recommendations, and implement necessary processes for consistent compliance
  • Dependable with a strong follow-through
  • Self-sufficient
  • Ability to work effectively with internal and external resources
  • Must be authorized to work in the U.S.
