Overview:
The Program Manager is responsible for managing timing, logistics, and communication for assigned clients. The program manager will develop strong relationships with external and internal customers to elevate the client experience and increase our efficiency. The project manager may engage with clients during the prospecting phase and support their studies after they are awarded. For awarded projects, the Program Manager will facilitate the on-boarding process and manage key deliverables through project execution. The project manager will work with opportunities that meet defined criteria with respect to size and complexity.
Responsibilities:
Client Experience
- Work with the commercial team during the needs assessment phase.
- Participate in discussions about the timing and scope of the project.
- Confirm scheduling and technical capabilities for proposed projects.
- Support the efforts of client experience associates in developing proposals.
- Coordinate with the sales team to review proposals, participate in presentations to clients, and support follow-up and revisions as needed.
- Maintain current knowledge of the agreements in place with assigned customers.
- Project manage the update and timely revision of agreements, as necessary, in collaboration with business development directors.
- Develop strong relationships with clients and internal stakeholders to facilitate high-quality, on-time, and on-budget project delivery.
- Work with the Inotiv senior leadership team in establishing, implementing, and improving corporate processes and operational guidelines.
- Collaborate with internal departmental project managers and coordinators in creating project tracking and communication tools.
- Monitor the progress of studies/projects, inform the customer of schedules, report dates, and any events that could impact the overall schedule of a study/project, and provide options for mitigation.
Communication
- Establish communication protocol with the client (frequency, content, channels).
- Develop written updates for the client.
- Create Gantt charts, spreadsheets, and status updates.
- Coordinate and lead videoconferences.
- Track milestones and hold teams accountable for study starts and deliverables.
- Manage logistics and interdependencies for complex programs spanning across Inotiv’s departments and sites.
- Collaborate with internal departmental project managers and coordinators in creating project tracking and communication tools.
Timing and Logistics

- Coordinate the transfer of materials (TA, specimens) within the company and externally.
- Manage additional study costs that arise, ensuring the customer is kept up to date and that supplementary contracts are issued or AWOs processed in a timely manner.
- Organize and host client visits where appropriate.
- Liaise with the finance group for invoicing queries, milestone negotiations, late payments, credit checks, and to ensure invoicing for milestone payments (as needed).
Qualifications:
Required Qualifications
- Bachelor's degree in a scientific discipline, marketing, business administration, communications, or a related field.
- Over 10 years of experience in contract research, pharmaceutical R&D, project management, or closely related industries.
- Proven expertise in managing multiple projects involving diverse and geographically dispersed stakeholders.
- Equivalent combinations of relevant education and work experience will be considered.
- Strong communication and decision-making abilities, with a demonstrated capacity for effective leadership and collaboration.
- PMP (Project Management Professional) certification is preferred.
*This position could be offered at different levels for candidates who qualify with a combination of advanced levels of education and/or years of experience. The salary range will adjust along with the level of the role to match the person’s relevant experience and/or education level.
