As a Scheduling Manager, you’ll be the backbone of our Operations and Client Delivery Department, ensuring that every event is staffed with the right talent and resources to deliver a flawless experience. The Role- key responsibilities
As a Scheduling Manager, you’ll be responsible for coordinating resources and managing workflows, ensuring every detail is aligned to meet our high standards and support exceptional client experiences. This is a hands-on role that combines strategic oversight with practical resource management to keep everything running smoothly.

What You’ll Do:
  • Ensure a smooth request lifecycle: Oversee the entire lifecycle of requests by allocating the appropriate resources (Project Managers, Media, Remote Support, and Training team) for each project phase to meet client needs.
  • Estimate project scope: Assess the scope of each project and match client needs with the appropriate skill sets, working closely with department heads to ensure alignment.
  • Balance workload across teams: Review available reports and schedules to ensure workloads are balanced effectively among team members.
  • Collaborate across teams: Work closely with Sales, Project Management, Remote Support, Training and Engagement, and Media teams to understand their processes, supporting workflow optimization and ensuring smooth operations.
  • Participate in On-Call rotation: Be on standby as part of the weekly on-call duty rotation, covering urgent needs and last-minute adjustments outside of regular hours.
  • Plan for Last-Minute requests: Anticipate and prepare for high-demand or last-minute requests, ensuring teams are ready to respond quickly and efficiently.
  • Manage Remote Support shifts: Oversee and adjust the Remote Support shift plan as needed, ensuring coverage for 24/7 event support.
  • Stay updated on product developments: Keep up-to-date with product updates and new offerings to align resources effectively with our latest capabilities.
  • Facilitate clear and timely stakeholder communication: Ensure smooth communication and transparency across teams to keep everyone informed and aligned on project needs and client expectations.
Working Hours and Flexibility:
  • Core Working Hours: 8-hour shifts scheduled within the timeframe of 08:00 to 00:00 CEST, Monday to Friday. Shifts are coordinated among Scheduling Managers to ensure full coverage throughout the day.
  • On-Call Rotation: Participate in a weekly on-call duty rotation, which includes evening and weekend availability to address urgent requests and ensure operational continuity.
Key experiences and competencies
What We’re Looking For:
  • Strong organizational and administrative skills: Ability to manage resources, schedules, and project details effectively.
  • Effective communication and people skills: Skilled at building relationships and coordinating with a variety of stakeholders.
  • Great attention to detail: High level of accuracy in managing resources and ensuring smooth project execution.
  • Proficiency with Microsoft Tools: Experience with Microsoft Office Suite, especially MS Excel, for tracking and managing data.
  • Excellent English proficiency: Strong written and verbal communication skills in English.(Additional language is a plus!)
  • Reliable internet connection: Consistent access to a stable, high-speed internet connection for remote work.
  • Customer Service experience (Plus): Previous experience in customer service is an added advantage.

Our global team has already supported over 50,000 multilingual meetings all over the world for a large range of clients, including the White House, UEFA, Google, or GlaxoSmithKline.
