Royal Ambulance is looking for a proactive, detail-driven Accounts Payable Specialist to fully own our AP functions and play a vital role in supporting our Finance Team. This role goes beyond processing invoices—you’ll be a key player in optimizing our financial workflows, enhancing vendor relationships, and ensuring smooth financial operations for our team of over 800!

In this role, you’ll be the go-to person for AP, directly interfacing with our finance and executive teams, employees, and vendors to drive seamless, timely processes that support our mission of excellence.

Responsibilites:
  • Lead and manage the complete Accounts Payable cycle, ensuring accuracy and timeliness across all transactions.
  • Accurately process business invoices and credit card transactions to ensure prompt, precise payments.
  • Develop and sustain strong vendor relationships, facilitating seamless and effective operations.
  • Maintain detailed and accurate records of expenses, transactions, and vendor documentation.
  • Process and prepare payments for a team of over 40 contractors (1099), ensuring consistency and compliance.
  • Play a key role in cost control, actively managing budgets, and identifying opportunities for savings.
  • Apply organizational policies and GAAP standards rigorously to ensure all entries meet compliance standards.
  • Continuously seek efficiencies, contributing to and implementing impactful process improvements.
  • Analyze financial data to uncover growth opportunities and enhance operational effectiveness.
  • Serve as backup support for payroll processing in the Payroll Manager’s absence, ensuring continuity.
  • Contribute to month-end and year-end close processes to support seamless financial reporting.
  • Take on additional accounting responsibilities as needed, demonstrating flexibility in a dynamic environment.

  • Maintain strict confidentiality in line with HIPAA regulations and company policies, safeguarding sensitive information.

  • Minimum Requirements:
  • Over 5 years of experience in accounts payable, with a solid grasp of GAAP principles and expertise in month-end and year-end closing processes.
  • Proficient in Google Suite, Excel, QuickBooks, and various HRIS platforms, with a high level of technical adaptability.
  • Highly organized and detail-oriented, skilled at managing multiple tasks with thorough and consistent follow-through.
  • Personable, professional, and respectful in all written and verbal communications.
  • Proactive in anticipating needs, identifying potential challenges, and providing effective solutions.
  • Able to work independently and collaboratively within a team, demonstrating dependability and a strong commitment to punctuality.
