Job Summary:
The Customer and Sales Support Representative
focuses on providing essential administrative support to the sales team. Responsibilities
include managing CRM data, tracking leads, handling customer inquiries, creating projects
and quotes based on project specifications, sending sales orders to customers, and
ensuring smooth workflow within sales operations.
Key Communication Partners:
- BD Sales Rep – for quoting and streamlining new project planning.
- Project Coordinator– for assigning available resources to projects.
- Customers– for managing inquiries and providing support.
- Account Receivable Team– for addressing invoicing and sales order-related questions.
- COO– for obtaining necessary approvals.
Primary Responsibilities (include but are not limited to):
1. Customer and Lead Management:
- Enter new leads and customers into CRM.
- Track and follow up on open leads and quotes with sales representatives.
2. Project and Quote Management:
- Create and enter new projects for quoting.
- Generate and send quotes to customers based on project specifications.
- Update ongoing project values as necessary.
3. Sales Order Processing:
- Create and send sales orders to customers.
- Coordinate with project coordinators to assign resources to new projects.
4. General Sales Support:
- Schedule and conduct follow-up meetings with sales representatives about open leads
and quotes.
- Maintain accurate records of projects and sales transactions to support smooth sales
operations.
Requirements:
- 2+ years of experience in sales support, customer service, or a similar role, preferably in an energy or technical services environment.
- Experience in Manufacturing and Engineering services is a big plus.
- Proficiency with CRM software (e.g., Salesforce, HubSpot) for lead and customer data management.
- Strong understanding of sales processes, including lead tracking, quoting, and order processing.
- Excellent written and verbal communication skills for effective customer interaction and cross-departmental collaboration.
- High attention to detail for accurate data entry, quote generation, and sales documentation.
- Strong organizational and multitasking abilities to manage multiple leads, orders, and inquiries.
- Proficiency in Microsoft Office Suite, particularly Excel and Word, for recordkeeping and reporting purposes.
- Ability to work independently and as part of a team in a fast-paced environment.
- Basic understanding of invoicing processes and experience collaborating with accounts receivable teams.
