Job description

This is a remote position.

Job Highlights:
  • 40 hours per week
  • Contract: Independent Contractor
  • Monday to Friday, 9am to 6pm Pacific with an hour unpaid break

Job Summary:
The Field Service Coordinator / Project Coordinator is responsible for managing project
schedules and field resources. This role includes assigning resources to various projects,
managing resource rotations for rest periods, handling time-off requests, and coordinating
the availability of internal and external resources. The coordinator tracks and approves
weekly time and expense reports for resources and serves as the primary point of contact
between external customer support and the internal field service team to ensure projects
stay on schedule.

Key Communication Partners:
- SMP Customer Support Rep – for project details and smoother project planning.
- Field Service Manager – for project and resource planning.
- Team Leads – for project planning and upcoming schedules.
- Field Service Team – for tracking time and expenses.
- Customer Project Rep – for coordinating project requirements and updates.

Primary Responsibilities (include but are not limited to):
1. Project and Resource Scheduling:
- Manage and update project schedules to reflect current timelines and milestones.
- Maintain and update resource schedules to ensure optimal deployment and availability.
- Assign field resources to projects according to schedule requirements.

2. Resource Time and Expense Management:
- Approve time-off requests for field service resources.
- Review and approve weekly time and expense reports for all resources.

3. Communication and Coordination:
- Communicate project updates and requirements with the Customer Project Rep via
online platforms or email.
- Coordinate with external vendors to arrange field resource support as necessary.
- Collaborate with the Field Service Manager on resource planning and schedule
adjustments.

4. Documentation and Reporting:
- Send Statements of Work (SoW) to the Field Service Team.
- Approve purchase requests for necessary project materials and tools.
- Confirm daily report submissions and approve weekly timesheets and expense reports.

Requirements:

  • Bachelor’s degree in Project Management, Business Administration, or a related field preferred.
  • 3+ years of experience in project coordination, scheduling, or a similar role, preferably within the energy or field services industry.
  • Experience in Manufacturing and Engineering services is a big plus.
  • Proficiency in project management software and scheduling tools (e.g., MS Project, SAP, or similar).
  • Strong organizational skills and attention to detail for managing multiple projects and resource schedules.
  • Excellent communication skills for effective collaboration with internal and external teams.
  • Ability to prioritize tasks, troubleshoot issues, and make quick, informed decisions under tight deadlines.
  • Familiarity with industry-specific documentation requirements, including Statements of Work (SoWs), purchase requests, and daily reporting standards.
  • Proficiency in MS Office Suite, particularly Excel and Word, for documentation and reporting purposes.
  • Flexibility to accommodate adjustments in schedules and resource allocations based on project demands.
  • Valid driver’s license and willingness to travel occasionally to project sites as needed.
