Job description

The primary purpose of the Grant Program Coordinator position is to provide support to the process for large-scale grants. Impact large scale and/or multiple grant activities for a department.

JOB SPECIFIC COMPETENCIES

Administrative Planning For Grant And Protocol Initiatives

  • Provides the appropriate resources, including administrative and financial support for the grant process.
  • Participates in the data collection, preparation, submission, review, approval, contract negotiation, activation, regulation, tracking and reporting of and submission of grant and protocol applications and annual reports, according to institutional and external requirements.
  • Assists in the audit process.
  • Provides assistance in all aspects of large grant awards. This includes pre-award, post-award, progress reports, no-cost extensions, and close outs. Coordinates the internal competitions for developmental or career development funds.
  • Maintains familiarity with NIH forms and requirements.
  • Serves as a resource to others who participate in the grant process.
  • Prepares budgets
  • Attend G.A.N.G. meetings

Management of day-to-day protocol and grant operations.

  • Assists in preparation and maintenance of a database of internal and external grant report and continuation deadlines.
  • Assists in coordinating grant activities with project and core principal investigators, and report status to the Grant Program Manager.
  • Compose grant-related and protocol-related correspondence as necessary and route appropriately.
  • Assists in maintaining up-to-date percents of effort for all departmental personnel.
  • Assists in coordinating with the Legal Department and Grants and Contracts the issuance of agreements and subcontracts, facilitate setup of subcontract and follow through on invoice payment.
  • Assists in maintaining a detailed, up-to-date file and list of grant publications.
  • Communicate with vendors to obtain quotes and assist with tracking of study medications.
  • Attend and actively engage in weekly PI meetings.
  • Submits protocol modifications and termination requests.
  • Maintains essential documents for protocols

Protocol, grant and regulatory tracking and reporting

  • Assists in composing and submitting protocols for grant-related and sponsored projects.
  • Follows through to track RCTS and OSP submissions for grant and contract submissions
  • Reviews each project for annual continuing reviews.
  • Tracks projects through the pre-award and IRB process.
  • Responds to queries from CR Study Registration group

Educaiton

Required: Bachelor's degree.

Preferred: Master's degree.

Experiences

Required: Three years of extensive administrative experience. May substitute required education degree with additional years of equivalent experience on a one to one year basis. With preferred degree, one year of experience required.

Preferred: Protocol submission or grant experience.
