Responsibilities:
  • Data Entry and Application Processing:
    Efficiently handle incoming mortgage applications.
    Enter application details accurately into the system software.
    Set up client profiles and maintain organized records.
  • Document Collection and Communication:
    Communicate with clients via email or phone to collect necessary documents.
    Ensure timely submission of required paperwork.
    Maintain clear communication channels with loan officers and clients.
  • Basic Email Monitoring and Support:
    Monitor the company’s email inbox.
    Respond promptly to inquiries or forward them to the appropriate team members.
    Handle routine inquiries related to mortgage applications.
  • System Familiarization and Task Execution:
    Learn and become proficient in the systems used by the company (e.g., loan processing software, CRM tools).
    Execute tasks assigned within these systems.
    Collaborate with team members to streamline processes.
  • Marketing Support:
    Assist with basic marketing tasks.
    Coordinate email campaigns or other marketing initiatives.
    Prepare marketing materials as needed.
  • Loan Processing System Support:
    Work closely with loan processors.
    Assist in processing mortgage applications.
    Ensure accuracy and compliance with company policies.
  • Payroll Processing:
    Handle payroll-related tasks (if applicable).
    Ensure timely and accurate payroll processing for employees.
  • Other Executive Assistant Duties:
    Provide administrative support to executives and managers.
    Schedule meetings, manage calendars, and handle travel arrangements.
    Perform general office tasks as required.
Qualifications:
  • Experience with the loan origination system called Arive
  • Previous experience working with mortgage companies or loan officers is preferred.
  • Strong organizational skills and attention to detail.
  • Proficiency in using office software (e.g., Microsoft Office, Google Workspace).
  • Excellent communication skills (both written and verbal).
  • Ability to work independently and collaborate effectively with a remote team.
