HubSpot is looking for a People Operations Coordinator to join our People Operations team. In this role, you will be collaborating with the wider People Operations team to ensure a truly unique & remarkable employee experience for each and every individual. This position is ideal for someone who has a passion for helping others, great attention to detail, and an interest in growing their career within the People space.

As a trusted member of the People Operations team, you will be the  key to ensuring the successful launch of People initiatives, and is focused on day-to-day People Operations and the employee experience which includes on-boarding, benefits, process improvement, off-boarding and communications. You will be a main point of contact to help HubSpot grow better.

In this role you will get to:

  • Provide a remarkable employee experience by Managing Tier 1 cases from our People email in-boxes, addressing employees requests and triaging with other functions as appropriate.
  • Actively manage our inbox volume, ensure timely resolution (i.e. SLA attainment). Provide support to employees and collaborate with the wider People Operations and other cross functional teams to ensure a remarkable employee experience.
  • Process transactions in the HRIS with focus on accuracy and completeness.
  • Act as Directly Responsible Individual for managing the employee off-boarding process for VOL and INVOL terms. Liaise with the Employee Relations team on the severance documentation enablement.
  • Manage the pre-hire process for new employees.
  • Assist with the administration of leave of absence, ensuring compliance with legal requirements and organizational policies.
  • Partner with the Sr. Operations Specialist on SST (Sistema de Gestión de Seguridad y Salud en el Trabajo) compliance activities (employee training, medical checks scheduling, internal audits, etc)
  • Review "As Is" People Ops transactions and reporting processes with a continuous improvement and automation mindset, submit 1+ recommendations per month on whether changes, including further automation, can be made to improve the process and partner with cross functional teams on implementation.
  • In partnership with the HRIS team, identify opportunities to improve and automate People Ops processes.
  • Collaborate in entry-level cross-functional projects in support of our key priorities.
  • Maintain online employee records and conduct audits as needed to ensure compliance
  • Generate People reports and take action as needed
  • Support Global Mobility and Immigration team with new hire paperwork and keeping employee records up to date
  • Maintain internal People Ops intranet pages
  • Prepare documents and materials for people-related programs and initiatives

To Excel in this role you will need to have:

  • 2+ years of experience as a People Ops coordinator or relevant human resources position
  • Customer service orientation with high attention to detail and follow-through
  • People Operations experience partnering with other People functions.
  • Proven commitment to providing exceptional customer service with high attention to detail and follow through
  • Experience working with HRIS systems; preferably Workday 
  • Demonstrated ability to take initiative, proactively identifying opportunities for improvement and driving solutions.
  • Strong organizational skills; able to effectively prioritize assignments and competing deadlines in a fast paced environment
  • Ability to handle sensitive situations and consistently exercise good judgment in dealing with a variety of sensitive situations and issues
