We’re seeking an Administrative Business Partner to support our Chief DEI Officer, Sr. Director of People Experience, and other key leaders at Pinterest. In this role, you’ll be responsible for managing the demanding schedules of our leadership team, coordinating travel and events, nurturing key cross-functional relationships, and advancing vital People Team initiatives.

Your contributions will be essential to the success of our dynamic organization and will play a central role in supporting our growth.

 

What you’ll do:

  • Assist multiple executives/senior leadership and teams with calendar management, schedule meetings with internal/external partners and navigate meeting conflicts; prioritize meeting cadences and requests
  • Support executives/senior leadership in event planning, research event location, manage logistics, draft event communications, and handle event on/off site set-up 
  • Provide recommendations to executive/senior leadership for swag concepts and select vendors within the budget
  • Support executive/senior leader in preparation for team meetings, including preparation of meeting agenda and content, capture action items and circulate meeting notes
  • Provide administrative support for executive/senior leader with business facing teams (HR, Recruiting, Workplace, and IT) for specific executive/senior leader projects and initiatives
  • Serve as positive representation of Pinterest on behalf of executive, both internally and externally
  • Process and reconcile expense reports
  • Coordinate executive/senior leader domestic/international travel, hotel accommodations and transportation
  • Support executive/senior leader in maintaining their employee recognition budget and make recommendations for rewards

 

What we’re looking for:

  • 2+ years of experience, ideally supporting Director-level executives, with additional experience in Recruiting or HR being highly desirable.
  • Skilled in using Mac, G-Suite, and creating purchase orders.
  • Demonstrates excellent written, verbal, and interpersonal abilities to effectively interact across all levels of the organization.
  • Exhibits meticulous attention to detail and thrives in fast-paced, deadline-driven environments.
  • Eager to support colleagues and provide backup assistance as needed to promote a cohesive team environment.
  • Approaches challenges with a creative, solution-oriented mindset and considers the bigger picture to develop appropriate resolutions.
  • Comfortable making confident decisions at a swift pace, guided by a data-driven and analytical approach.
  • Standard hours are 8:00 am to 5:00 pm, with occasional overtime. The ideal candidate would have additional scheduling flexibility and be comfortable flexing to meet the needs of the business.

In-Office Requirement Statement:

  • We let the type of work you do guide the collaboration style. That means we're not always working in an office, but we continue to gather for key moments of collaboration and connection.
  • This role will need to be in the office for in-person collaboration 1-2 times per quarter. For employees not located within a commutable distance from this in-office touchpoint, Pinterest will cover T&E.
